Job Overview: The Office Manager with Human Resources responsibilities will be instrumental in managing our office operations and supporting various HR tasks. This role requires a detail-oriented professional who can effectively handle multiple duties including administrative support, coordination of office activities, and support in HR functions such as onboarding, employee relations, and compliance. The ideal candidate will be an excellent communicator with strong organizational skills and the ability to handle sensitive information confidentially.
Responsibilities:
Office Management:
- Oversee daily office operations and ensure a smooth and efficient work environment.
- Manage office supplies inventory and place orders as necessary.
- Coordinate with IT, maintenance, and other service providers to ensure all aspects of the office are running smoothly.
- Organize, schedule, and supervise all administrative activities that facilitate the smooth running of an office.
Human Resources Support:
- Assist with issuing employment contracts.
- Help organize and manage new employee orientation, on-boarding, and training programs.
- Maintain employee records (attendance, EEO data etc.) according to policy and legal requirements.
- Review and update HR policies and ensure compliance with regulations.
- Assist in development and implementation of human resource policies.
- Handle workplace issues and conduct preliminary investigations when necessary.
Administrative Support:
- Provide clerical and administrative support to management as requested.
- Facilitate internal communication (e.g., distribute information and schedule presentations).
- Arrange travel accommodations and process expense forms.
- Manage executives' schedules, calendars, and appointments.
Requirements:
- Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant with HR responsibilities preferred.
- Knowledge of office administrator responsibilities, systems, and procedures.
- Familiarity with human resources policies and procedures to ensure the HR function is administered effectively.
- Excellent time management skills and ability to multi-task and prioritize work.
- Strong organizational and planning skills in a fast-paced environment.
- A creative mind with an ability to suggest improvements.
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus.
- Proficiency in MS Office.
