About the Role:

U.S. Pipe is currently looking for a Customer Service Representative to become part of our team. This role involves offering customer service assistance, managing orders, entering orders, and providing quotes for our US Pipe Fabrication clients, all with the aim of fulfilling the company's objectives.

Specific Responsibilities:

  • Efficiently handles order entry tasks including quoting, price verification, and coordinating with various departments to ensure timely fulfillment and customer satisfaction.
  • Provides comprehensive support to customers by furnishing necessary information, resolving order-related issues, and keeping them informed about shipping schedules.
  • Maintains proactive communication with sales team and customers throughout the order process, ensuring smooth completion of each job.
  • Sends out quotations via email to sales representatives and customers as required.
  • Keeps accurate records of customer inquiries, orders, and specific job requests.
  • Facilitates communication by sending job specifications and submittals to customers and promptly responding to information requests.
  • Enters orders accurately into JD Edwards system, issues order confirmations, and arranges for necessary materials procurement and shipping confirmations.
  • Proactively identifies and addresses potential issues affecting customer orders, presenting viable solutions to mitigate disruptions.
  • Acts as a liaison between the customer and the production team, promptly addressing any issues and relaying pertinent information.
  • Handles customer complaints efficiently, records pertinent details, and resolves conflicts or emergencies in a timely manner.
  • Initiates preliminary paperwork for material returns and ensures compliance with company policies and regulations.
  • Conducts thorough order checks to ensure accuracy and collaborates with production team to determine delivery schedules and follow up on existing orders.
  • Actively engages in production meetings to facilitate clear communication within the team and promptly addresses any customer concerns.
  • Undertakes additional responsibilities as assigned.

Qualifications:

  • Minimum high school graduate or equivalent. Some college or technical training is a plus.
  • Must have at least 2 to 4 years of previous customer service experience in a fast paced and high-volume call center environment.
  • Must have a strong working knowledge of Microsoft Excel, Word, Outlook, and PowerPoint software.
  • Previous customer service assignments in an industrial or manufacturing sales environment are preferred.
  • Professional behavior in the workplace and on the phone is required.
  • Requires diligent presence in work area to be responsive to customer calls and e-mails.
  • Good patience and ability to deal with people.
  • Strong ability to meet deadlines and manage information from multiple locations.
  • Strong attention to accuracy and detail
