Job Summary: To provide administrative support to the five day programs and the Director of Day Programs.

Supervisory Responsibility: None

Duties/Responsibilities:

  • Monthly Audits of Therap documentation. 5% of the program attendees to complete 100% annually. (ensure required documents are printed and on site – ISP’s, HRST, BSP’s)
  • Respond to inquiries about Day supports and enrollment process; schedule tours and complete when needed.
  • Gathering documents from IDD-C for referrals and presenting them to the Director of Day Supports.
  • Ensuring annual documents are in Ebridge; audits and requests missing documents.
  • Set up new individuals in Therap.
  • Complete monthly Day Program newsletter for distribution to UCP and Caregivers and Families.
  • Purchase/order program supplies for all programs, replacement furniture and equipment.
  • Order SMS for each location
  • Review Netfacilities work orders monthly and provide follow up with maintenance Director of status of completion of work orders.
  • Complete quarterly site inspection of all program sites and submit to Director of Day Supports
  • Represent UCP at community resources fairs statewide.
  • Research upcoming activities and provide Day managers to incorporate in their activity calendars.
  • Complete any Bellow requests for adaptive equipment to be used at Day Program
  • work with Day Program managers to ensure seasonal and or holiday decorations are purchased/present at each facility (outside and inside)
  • Screen potential candidates and schedule interviews.
  • Uploading behavior tracking and scanning it to the behavior department.
  • Completing any CIRs in the absence of a Program manager.
  • Completing community activity calendars in the absence of a Program Manager.
  • Interview for DSP in the absence of manager or assist when needed
  • All other duties as assigned.
  • Travel across the State of Georgia as required (up to 25%)

Required Skills/Abilities:

  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite or related software.
  • Experience with HRIS systems

Required Certifications and Licenses:

CPR/First Aid, CPI and UCP Medication Administration

Education and Experience:

High school diploma and at least three years as an administrative assistant.

Physical Requirements:

  • Must be able to remain in a stationary position 50% of the time.
  • Must be able to occasionally move about to access file cabinets, office machinery and other locations in the building.
  • Must be able to continually operate a computer and other office machinery such as a calculator, copier machine and computer printer.
  • Must be able to communicate and converse with others, detect and discern others’ communication, and express oneself.
  • Must be able to relay information to all levels of staff.
  • Must be able to lift and/or move up to 15 lbs.
  • Must be able to operate a motor vehicle
