Job Description

Position Summary

The Senior Contract Administrator is a pivotal figure in overseeing the contract lifecycle within our organization. This role requires a seasoned professional with a comprehensive understanding of contract law, negotiation skills, and the ability to collaborate effectively with various stakeholders. The Senior Contract Administrator will play a crucial role in ensuring compliance, mitigating risks, and fostering positive vendor relationships.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  1. Contract Management:
    1. Oversee the entire contract lifecycle, from initiation to closeout, ensuring adherence to company policies and legal requirements.
    2. Draft, review, and negotiate complex contracts, including customer agreements, MSA’s, service agreements, procurement contracts, and vendor agreements.
    • Address and resolve contractual issues and disputes in a timely and effective manner.
  1. Risk Mitigation:
    1. Identify and assess contractual risks, proposing and implementing risk mitigation strategies.
    • Work closely with legal counsel to ensure contracts comply with applicable laws and regulations.
    • Partner with insurance brokers to provide certificates of insurance (COI’s) consistent with customer contracts managing appropriate risk levels for the company.
  1. Vendor Relations:
    1. Collaborate with vendors and internal departments to negotiate terms and conditions, ensuring mutually beneficial agreements.
    2. Collaborate with Purchasing Team to establish new vendor relationships.

  1. Compliance:
    1. Ensure compliance with contractual obligations and regulatory requirements.
    2. Develop and implement contract management best practices to enhance efficiency and accuracy.

  1. Contract Administration:
    1. Maintain accurate and up-to-date contract records and documentation.
    2. Track and report on contract performance metrics, milestones, and deliverables.
    3. Complete all insurance reviews and requests for all companies (as needed), work with CFO to monitor selected insured units (company owned or re-rented, and customer provided) to verify accurate coverage and to remove unnecessary coverage when applicable.
    4. Manage all OCIP and CCIP enrollments as required, verify that all other internal Teams (including HR/Payroll) are aware of the requirement.
    5. Assist with Change Order creation and submission as required. Make sure all Change Orders are complete and thorough to expediate approval and payment.
    6. File liens, stop notice, or bond claims upon direction from CFO.
    7. Review and approve customer request for credit; use pre­ determined criteria to evaluate credit worthiness, assign a credit value, and track payment history to adjust or remove credit values if needed.
    8. Ensure that all standalone indemnification forms are complete, accurate, and executed as necessary to minimize and defer risk.
    9. Review and approve customer purchase orders for execution.

Minimum Qualifications

Education & Experience

  1. Bachelor’s degree in business, law, or a related field. Advanced degree or legal certification is a plus.
  2. Proven experience as a Contract Administrator or in a similar role, with at least 3 years of experience in contract management.
  3. In-depth knowledge of contract law, legal terminology, and negotiation principles.
  4. Proficient in contract management software and Microsoft Office Suite.
  5. Excellent written and verbal communication skills.
  6. Crane or heavy equipment industry experience preferred.
  7. Familiarity with government contracting and procurement processes preferred.

    1. Contract Law: In-depth understanding of contract law principles, legal terminology, and relevant regulations to ensure compliance and mitigate risks.
    2. Risk Management: Ability to identify, assess, and mitigate contractual risks, implementing strategies to protect the organization's interests.
    3. Customer & Vendor Relations: Understanding of customer and vendor management principles, with the ability to build and maintain positive relationships with customers, vendors, and internal stakeholders.
    4. Legal Compliance: Familiarity with legal requirements related to contracts, ensuring adherence to applicable laws, regulations, and industry standards.
  2. Skills:
    1. Negotiation: Strong negotiation skills to effectively and diplomatically negotiate contract terms and conditions, achieving favorable outcomes.
    2. Communication: Excellent written and verbal communication skills to convey complex legal concepts in a clear and concise manner.
    3. Attention to Detail: Meticulous attention to detail in reviewing and drafting contracts, ensuring accuracy and completeness.
  3. Abilities:
    1. Time Management: Effective time management skills to prioritize and manage multiple contracts simultaneously, meeting deadlines and milestones.
    2. Collaboration: Strong collaborative skills to work closely with cross-functional teams, legal counsel, and external vendors.
    3. Continuous Learning: Willingness and ability to stay informed about industry trends, legal developments, and emerging best practices in contract management.
