ADMINISTRATIVE ASSISTANT, Miramar, Florida


Salary Range: $22-26 per hour depending upon experience and education.

Position Summary:
The Administrative Assistant at our Miramar location is responsible for coordinating business activities to support the Risk Management, Information Technology and Information Security departments. Also supports multiple levels of management and helps coordinate the day-to-day management of the Miramar office. This candidate must have the ability to work independently, interact in a professional manner, be assertive, a self-starter, confident, dependable, organized, priority driven, problem solver, congenial, and a team player. This candidate must have advanced Microsoft Office skills with the ability to send and receive email, text messages, schedule calendars and use other forms of electronic communication. They should also be adept at creating spreadsheets and using word-processing programs. This candidate will perform administrative tasks according to the instructions of their project managers and ensure smooth communication between all relevant parties. They are often involved in all project phases and assisting with streamlining processes, which results in a broad range of tasks.

Position Responsibilities:
•Ensures timely preparation of reports and deliverables as required.
•Coordinates management meetings, board and management committee meetings and has the ability to take minutes.
•Ability to meet deadlines, solve problems and communicate issues timely.
•Exercises discretion and confidentiality with sensitive company information.
•Performs various administrative duties, including coordinating visitors, mail distribution, and other administrative tasks as assigned by supervisor(s).
•Assist with the coordination of office day to day needs including coordinating vendors for a/c, copy/scanner machines, shredding, cleaning staff and other office repair related duties.
•Assist with processing invoices for payment, routing, research, reconciliation, and approval as needed.
•Ability to take initiative and follow up on pending items.
•Coordinates daily calendar of manager and assist with planning appointments and events.
•An understanding of banking rules and regulations and a general understanding of corporate responsibilities.
•Greeting visitors at reception.
•Managing schedules, scheduling meetings and booking appointments

•Close attention to detail and good organizational skills.
•Ability to proofread and make grammatical and spelling corrections to minutes, documents, and reports.
•Experience at an intermediate level or higher with Microsoft Office Suite (to include Word, Excel spreadsheets and formulas, and PowerPoint.
•Ability to save and move data to various files and servers.
•General knowledge of email and Internet including the ability to perform additional research using online tools.
•Strong people skills.
•Ability to manage time and focus on results.
•Adaptable and flexible to changes with short notice.
•Excellent organizational and administrative skills.

Education & Experience:
•Minimum 4 years of related management assistant or administrative assistant experience.
•Banking experience preferable.
•Associates Degree preferable.
