Job Description

Perform Administrative and customer services responsibilities to support the Human Resources Department. Support to be given to all areas of Human Resources, including but not limited to, Recruitment, Onboarding, Wellness, Events/Employee engagement, Payroll, Benefits and Learning and Development.

DUTIES & RESPONSIBILITIES

  • Observe the highest level of confidentiality, discretion and security of all employee and company information.
  • Maintain all (electronic, imaged and paper) files, records and databases for HR department, ensuring accuracy, compliance and efficiency; ensuring all payroll files are imaged into the electronic filing/storage system.
  • Process and maintain the Wellness and Home Office Reimbursement benefit for employees.
  • Assist with processing payroll and benefits monthly invoices.
  • Perform Ergonomic assessments for all new hires as well as on going assessments and tracking as needed.
  • Support the Wellness committee with monthly initiatives.
  • Assist with recruitment process by posting jobs, attending job fairs, scheduling interviews, conducting background checks, responding to applicants, conducting exit interviews, etc.
  • Assist with Onboarding by supporting new hires with initial log in to the system, downloading onboarding documents from ADP, scheduling and performing new hire HR training, ensuring completion in required timeframe.
  • Maintain employee Workplace Guide, policies and procedures, including HR specific procedures documentation.
  • Maintain the federal & State Labor & Law posters/notices on the HR intranet, as well as the bulletin boards at each Vermont Mutual physical location.
  • Maintain the HR sections on the company Intranet through daily update and maintenance; updating postings, creating postings, etc.
  • Assist the Learning & Development Specialist with registration for webinars and courses, and track course completion.
  • Assist Learning & Development Specialist with live trainings; moderate, track attendance, tracking questions in the chat, etc.
  • Assist with the planning and execution of employee events such as wellness & safety programs, volunteer events, luncheons, employee appreciation and other company initiatives/committees that foster employee engagement s.
  • Distribute daily incoming (open and scan as needed) and outgoing mail for the department.
  • Be a friendly, available resource for employees and direct higher level questions to appropriate team members.
  • Assist with preparing various HR/Payroll/Learning & Development reports and/or surveys.
  • Work at the Montpelier or Berlin offices as needed.
  • Perform other duties or special projects as required or as assigned.

SUPERVISION RECEIVED

  • Minimal to general supervision is received from the Vice President of Human Resources

QUALIFICATIONS

  • Associate’s degree in Human Resources, Accounting, Business or other appropriate discipline, plus 2 to 4 years of relevant administrative experience, HR/payroll experience preferred. A combination of education and experience from which comparable knowledge and skills are acquired will be considered;.
  • Maintain a high level of confidentiality and discretion; use sound judgment to effectively handle sensitive situations/documentation.
  • Strong attention to detail.
  • Manage & prioritize competing demands/deadlines & unexpected events and meet tight deadlines.
  • Proficient in the use of Microsoft Office applications: Word, Excel, Outlook & Adobe a must.
  • Professional, self-starter; able to work independently with minimal supervision.
  • Superb interpersonal/customer service skills, work/interact courteously and objectively with a wide variety of company personnel/personalities, as well as outside vendors/contacts.
  • Positively and effectively adapt to change.
  • Exceptional organizational and time management skills.
  • Communicate effectively both verbally and in writing to a variety of audiences.

PHYSICAL DEMANDS/WORKING CONDITIONS

  • Predominantly sedentary light office position in a professional setting with high frequency of keyboarding/computer work and moderate phone use.
  • Occasional lifting up to 25 lbs.
  • Occasional travel between Montpelier and Berlin offices
