Job description

We are looking for a welcoming and highly organized Receptionist to support daily office operations in Brookfield, Wisconsin. This is a Contract position suited for someone who can manage a fast-paced phone environment while providing attentive front desk assistance. The ideal candidate brings strong communication skills, sound judgment, and the ability to keep interactions efficient and courteous throughout the day.
Responsibilities:
• Manage a busy multi-line phone system and direct a large volume of incoming calls to the appropriate teams with accuracy and care.
• Ask thoughtful follow-up questions and gather key details so callers can be connected to the right contact regarding application-related inquiries.
• Research internal information and available resources to help determine proper call routing when requests are unclear.
• Provide front desk support by greeting occasional visitors and maintaining a welcoming, helpful presence at reception.
• Receive and sort incoming mail, courier items, and office deliveries in a timely and organized manner.
• Monitor email and other communication channels as needed to support smooth coordination across the office.
• Maintain orderly records of messages and inquiries to help ensure prompt follow-up and consistent customer service.• At least 1 year of experience in a receptionist, front desk, or high-volume call handling role.
• Demonstrated ability to remain composed, detail-focused, and service-focused in a busy environment.
• Strong verbal communication skills with confidence in asking clarifying questions to understand caller needs.
• Solid organizational skills and close attention to detail when managing calls, messages, and daily administrative tasks.
• Comfortable using multiple software systems and switching between platforms efficiently during conversations.
• Experience with multi-line phone systems, mail handling, and general receptionist duties.
• Familiarity with tools such as Lease Plus or HubSpot is preferred.
• Dependable, resourceful, and able to think quickly when handling new or unclear requests.
