Job Description

What you will be doing:

Reporting to the Director of Banquets, responsibilities and essential job functions include but are not limited to the following:             

  • Assist the Director of Banquets in the day to day operations of the Banquet Department as a liaison between operating departments, group clients and accounting.
  • Approach all encounters with guests and employees in a friendly, service oriented
  • Maintain regular attendance in compliance with Fairmont Standards, as required by scheduling which will vary according to the needs of the hotel.
  • Maintain high standards of personal appearance and grooming, which include wearing the proper business attire and name tag while working.
  • Answer the telephone and pass on pertinent information to managers, houseman, colleagues and/or return calls as needed.
  • Comply at all times with Fairmont standards and regulations to encourage safe and efficient hotel operations.
  • Ring in all checks for the day and set up the consumption checks that have to be completed in the evening, create the tip sheet for the following day.
  • Input all names into Evention tip sheets, input numbers into Banquet check recaps.
  • Handle payroll questions, Dayforce edits, trouble shoot service charge and pay out discrepancies.
  • Complete and post weekly 
  • Maintain and comply with server staffing guidelines in bidding book,
  • Fill out coffee colleague setup sheets for the next day and distribute the information to the coffee busser colleagues.
  • Maintain weekly pars for banquet supplies as well as coffee crew supplies.
  • Handle all event preparation needs, including linen, signage, and supplies.
  • Ensure proper staffing of ALL Functions and entering in union extras,
    Manager setup and detailing of Events.
  • Organize and maintain the office; files, supplies, etc.
  • Handle storeroom requisitions and daily linen inventory.
  • File daily Banquet Event Orders in the binder, change log and distribute server copies.
  • Double check and/or inquire during Banquet Event Order meetings missing function details.
  • Supervise Banquet Event Order controls through entering updated guarantees to maximize revenues.
  • Make menu cards for functions and specialty holiday events, all food labels and notate dietary restrictions.
  • Fill out linen pulls for the next day; give this information to the laundry.
  • Pick up and drop off invoices and PO.
  • Update daily revenue sheets and provide an analysis daily and weekly of revenue, covers and hours

Your experience and skills include:

  • 50 hour work week and overtime eligible
  • Previous Administrative experience required
  • At least one year of supervisory experience in Banquets or equivalent related experience
  • Previous luxury hotel experience strongly preferred
  • Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force constantly to lift, carry, push, pull, or otherwise move objects.
  • Must be able to convey information and ideas clearly.
  • Must be able to evaluate and select among alternative courses of action quickly and accurately.
  • Must work well in stressful, high pressure situations.
  • Bachelor's Degree preferred

Physical Aspects of Position (include but are not limited to): 

  • Constant standing and walking throughout shift
  • Frequent lifting and carrying up to 30 lbs
  • Occasional kneeling, pushing, pulling
  • Occasional ascending or descending ladders, stairs and ramps
