Job Description: LIBRARY SUPERVISOR

PAY GROUP:

SUMMARY OF POSITION:

Responsible for specialized library operations including program planning and implementation, interlibrary loan management, cataloging, collection management, social media and web page coordination, preparing statistical reports and overseeing inventory supplies. Provides excellent customer service while relaying information about library services, policies, and operations. Serves as first line supervisor in response to customer concerns and complaints. Acts as the supervisor-in-charge of the library on designated evenings and weekends. Contributes to the development of policies, services and technology.

This is a 40 hour per week position.

EXAMPLES OF WORK:

Essential Duties*

  • Performs supervisory duties which include, but are not limited to, acting as the supervisor-in- charge of the library on designated evenings and weekends, or as required, assisting in the training of new non-supervisory personnel and collaborating with the Circulation Manager in the evaluation process of non-supervisory staff members.

  • Responsible for the completion of daily supervisory operations which include, but are not limited to, opening and closing the library, processing daily reserve and overdue reports, reconciling money drawers, preparing daily revenue reports, revising daily desk schedule, issuing electronic library cards and billing customer accounts.

  • Assists with preserving customer's privacy and personal sensitive data and information. 

  • Provides quality customer service; answers questions regarding library collection and services; assists with electronic resources; provides reader's advisory and reference research assistance; provides instruction on the use of library equipment and technology; enforces library policies and procedures.

  • Performs general circulation duties and collects payment for library services and fees using the Point of Sale (POS) system.

  • Assists with managing the library's room reservation system; handling online, email and in- person inquiries; creating and editing reservations; explaining and enforcing room policies; lending audio/visual equipment; taking payment; assists in setting up audio/visual equipment for meetings.

  • Provides feedback to library management regarding policies and procedures to ensure efficient operations; analyzes and generates solutions to problems; prepares incident reports to document accidents and problem situations with customers; submits work orders for building and grounds maintenance; may serve as point of contact with fire and police during incidents or emergencies.

  • Prepares weekly cash deposits submitted to Finance and ensures appropriate line-item accounts are credited; reports statistics to the appropriate departments and institutions; organizes files following City records management guidelines.

  • Manages the library's electronic correspondence received through multiple channels including email accounts, text and chat services, and social media platforms. Assists with updating and maintaining the library's website and social media platforms.

  • Using the Integrated Library System (ILS) is responsible for performing original and copy cataloging of all formats of library materials to facilitate their identification, access, and use. Interprets and applies Library of Congress subject headings, the Dewey Decimal System, the AACR2, RDA, and the Online Computer Library Center (OCLC) manuals in cataloging and classifying library materials. 

  • Responsible for maintaining the integrity of the authority control database. Troubleshoots problems with bibliographic records.  Troubleshoots ILS software problems relating to cataloging and acquisitions; works with Assistant Library Director, automation vendors and City IT staff to resolve issues

  • Collaborates with the librarians in the development and/or revision of cataloging policies and procedures; maintains the integrity of authority records and performs maintenance of bibliographic and authority records.

Other Important Duties*

Required to work varied shifts, which include weekends and evenings.

Performs other such duties as may be assigned.

Observes all safety rules and procedures.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of: standard mathematical and grammatical practices, print and electronic resources, the Internet, Microsoft office products, standard library principles and technology.

Knowledge of: cataloging/classification procedures; standard library procedures and functions; computer input/output; Integrated Library Systems, OCLC, RDI, MARC Bibliographic formats; standard mathematical and grammatical practices; print and electronic resources; the Internet, Microsoft Word and Excel.

Ability to: communicate effectively both orally and in writing; work with the public in a courteous and pleasant manner; respond professionally during stressful times and situations; work independently, as well as collaboratively; operate standard office equipment including computer, calculator, copier, printer, fax machine, and document scanner; utilize and operate specialized library technology; read, sort and shelve library materials; accurately, prepare standard reports and spreadsheets using Microsoft software applications; maintain confidentiality of customer's accounts; understand and follow instructions; establish and maintain complex records and files; establish and maintain effective working relationships with co-workers and with the general public.

Physical Ability to: bend, squat, lift, push, pull and maneuver up to 35 lbs., and move freely around the library to locate materials and/or read shelves.

ACCEPTABLE EXPERIENCE AND TRAINING:

High school diploma or its equivalent. College coursework is preferred. Microsoft Office knowledge and cash handling experience required.

Two years of supervisory and customer service experience preferred.

Training or experience working in a library setting or an equivalent combination of education and experience preferred.

CERTIFICATES AND LICENSES REQUIRED:

Valid Texas Driver's License.
