What This Position Is All About:

Temporary Executive Assistant (EA)- Onsite

The Temporary Executive Assistant (EA) will be accountable for coordinating the activities of several leaders within the organization while also helping maintain day-to-day office operations. The Executive Assistant performs a wide variety of administrative support services, ranging from complex to routine, all of which contribute to the efficient, and professional operation of the office's team and leaders. The EA must be comfortable with dealing with sensitive and confidential information and must maintain professional relationships with all areas of our business.

  • The pay range for this position at commencement of employment is expected to be between $30 and $35/hour. Base pay offered may vary depending on multiple factors, including candidate market location, job-related knowledge, skills, and experience.

  • This is a temporary position, and we anticipate it will start on March 20th and will end on or around mid-July, however the timing is subject to change based on current business needs.

In this role you will:

  • Anticipate the needs and requirements of the executive team and business partners and complete as necessary

  • Monitor incoming emails, prioritize issues, and respond to any requests possible

  • Maintain the teams' electronic calendars, contacts, and task lists, as necessary

  • Create reports for executives and business partners, drawing together all necessary information, and formatting the same in a clear and concise manner

  • Coordinate all webinars and conference calls as necessary

  • Create PowerPoint presentations for internal and external clients as necessary

  • Draft correspondence and memorandums based on minimal information, review for accuracy, and/or retrieve information from a computer or database, spreadsheet, or various other programs, to produce written correspondence that is free of errors

  • Prepare domestic and international travel schedules including complex multi-location travel and itineraries, correspond to arrange and confirm reservation and meeting dates, locations, equipment, and catering

  • Complete projects as required by the executive team and business partners, working with minimal supervision and guidance

Administrative Support

  • Demonstrated proficiency providing administrative support in a complex and busy office environment with proven success of adaptability, flexibility, cooperation, and willingness to provide support wherever needed

  • Excellent multi-tasking and prioritization skills needed as this position supports multiple leaders and competing priorities

  • Demonstrated ability completing action items and tracking them to closure

  • Ability to learn, understand, and follow institutional policies and procedures

  • Proven ability to build effective working relationships and networks

Organization And Time Management

  • Demonstrated ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment

  • Demonstrated record of dependability, availability, attendance, and punctuality

  • Demonstrated experience making decisions and resolving complex problems both independently and as a team member using judgment and creativity to determine the approach or action to take in non-routine situations

Business Systems

  • Computer skills in G-Suite experience strongly preferred and solid understanding of MS Office Suite (Word, Excel, PowerPoint, Outlook, Adobe Acrobat, etc.) and demonstrated ability to learn

  • Concur travel system experience is preferred however knowledge of corporate travel systems is required

  • Ability to independently interpret data and information to produce professional Word documents, Excel spreadsheets, and PowerPoint presentations

  • Experience with procurement systems, including willingness to hold a corporate purchase card. Submit all business expenses for team members (10) as needed

  • Assist business partners with systems as needed

Communication

  • Excellent verbal and written communication skills, including proofreading, grammar, spelling, punctuation with a high level of accuracy and attention to detail

  • Excellent customer service skills

Personal Leadership

  • Demonstrated ability to calmly manage interruptions and changing priorities; complete assignments with or without established procedures; and be available and dependable

  • Experience utilizing tact, diplomacy, and discretion in dealing with sensitive and confidential information

Education/Experience:

  • Position requires a high school diploma and 3 years related EA experience; or, and equivalent combination of education and experience directly related to the position
