POSITION: Executive Assistant - Temporary
STATUS: Hourly

SUPPORTING: 3 Vice Presidents

REPORTS TO: Director, Office Manager

LOCATION: Kendo Brands HQ, San Francisco, CA

*This is a temporary assignment anticipated for 3-6 months with a potential to extend.

The salary range for this temp position is $43.25 - $46.15 per hour. Offered salary is dependent upon experience and San Francisco location. This is a hybrid role based in our downtown San Francisco office - Tues through Thursday in-office, with Monday and Friday remote.

SUMMARY

We are seeking a high-impact Executive Assistant to serve as a strategic force behind our leadership team. The ideal individual will possess sound judgment in various situations, strong written and verbal communication skills, administrative and organizational abilities, and the capacity to maintain a realistic balance among multiple priorities. The Executive Assistant will be able to work independently on projects from conception to completion, anticipate needs before they arise, work under pressure at times, and handle a wide variety of activities and confidential matters with discretion.

RESPONSIBILITIES

  • Prioritize conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
  • Act as a strategic gatekeeper, expertly navigating complex calendars, "puzzles," and high-stake international logistics to maximize executive focus and productivity
  • Organize cross-functional internal and external meetings with precision, ensuring the executive is prepared with the necessary materials for meetings
  • Work closely and effectively with the Executive(s) to keep him/her well informed of upcoming commitments and responsibilities, preparing and follow up appropriately.
  • Booking travel
  • Oversee and maintain all executive expense reports and department organizational charts
  • Act as liaison to the executive's direct reports and their staff. Provide general administrative support to each team(s) you support
  • Provide a bridge for smooth communication between the Executive and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Partner with peers to plan and execute employee events
  • Build strong and effective partnerships with LVMH peers and key partners such as IT, facilities, and 3rd party vendors
  • Handle confidential, highly sensitive, urgent materials and information in a dynamic, fast-paced work environment

REQUIREMENTS

  • Minimum 3-5 years c-level experience in a fast-paced environment, high school diploma, college degree preferred
  • Previous retail/wholesale industry experience helpful; passionate about the beauty industry is a plus
  • Ability to take initiative and act independently. Able to work interactively and proactively with executives at all levels in the organization
  • Able to handle sensitive and confidential information with discretion
  • Resourceful, logical and creative problem solver
  • Strong organizational skills, able to track multiple projects
  • High level of accuracy, able to detect inconsistencies and errors
  • Superior interpersonal skills, approachable and flexible
  • Excellent verbal and written communication skills
  • Computer skills - Proficient in MS Office (Word, Excel, PowerPoint, Outlook and Teams) and generally tech-savvy / comfortable with software applications and database programs
  • Flexible with hours and in working overtime when required
