Job description

JOB TITLE: Executive Assistant JOB LOCATION: Medford MA WAGE RANGE*: 35 - 40/ hour JOB NUMBER: 881 JOB DESCRIPTION The temporary Executive Administrative Assistant will provide high level administrative, operational, and project support to the Office of the Executive Vice President (EVP). This role is central to the coordination of executive level committees, university wide initiatives, strategic planning processes, and leadership communications. The position requires exceptional organizational skills, sound judgment, discretion, and the ability to work effectively across a complex, fast moving, and highly collaborative environment.

The individual will serve as a key liaison between the EVP, senior leadership, and central administrative partners. Essential Functions • Provide high level administrative and operational support to the Office of the Executive Vice President, including drafting communications, sending leadership correspondence, and maintaining executive materials, templates, and website content. • Coordinate and support executive level committees, councils, and roundtables, including agenda development, meeting logistics, presentation coordination, follow up communications, and distribution of materials on behalf of the EVP.

• Support EVP calendar management and annual planning, ensuring alignment of governance, strategy, risk management, and institutional initiatives; support EVP preparation. • Serve as a key liaison between the EVP and central administrative partners (including the Office of University Strategy and Program Development (OUSPD)), facilitating communication, approvals, scheduling, and information flow for university wide initiatives and strategic projects. • Support major initiatives and governance processes, including Operating Model Transformation, Strategy & Alignment Planning, University Strategic Initiatives, Risk Management, and executive level planning efforts.

• Manage executive searches on behalf of the EVP, including coordination with search firms, scheduling and logistics. • Oversee annual performance planning processes for EVP direct reports, including timelines, communications, tracking and scheduling. • Maintain organizational documentation, including EVP organization charts and shared resources for committees and initiatives.

• Provide project management, scheduling, logistics, and administrative support for special projects and time sensitive initiatives as assigned.
