Executive Assistant-Temp

Wage: $23 per hour

Location: Bend, OR

Schedule: Monday-Friday; 9am-5pm

Length: 2 Months

SUMMARY

The Executive Assistant provides high-level administrative and operational support to the General Manager and Executive Leadership Team. This temporary role ensures smooth daily operations, manages complex scheduling and communications, and supports guest, ownership, and leadership experiences with professionalism, discretion, and exceptional attention to detail.

ESSENTIAL DUTIES & RESPONSIBILITIESExecutive Support
  • Manage the General Manager’s priorities, calendar, communications, and travel

  • Anticipate needs and prepare materials for meetings and daily operations

  • Track follow-ups and ensure timely completion of key initiatives

  • Prepare and submit accurate monthly expense reports

Administrative & Operational Support
  • Oversee daily office operations and administrative workflows

  • Manage office systems, supplies, mail distribution, and purchasing support

  • Provide light IT coordination and ensure office functionality

Meetings & Documentation
  • Attend weekly Executive Meetings and distribute clear meeting notes and action items

  • Coordinate agendas, documentation, and follow-through for internal meetings

  • Prepare polished reports, presentations, and correspondence

Guest, Ownership & VIP Support
  • Serve as the primary point of contact for ownership and their guests

  • Coordinate itineraries, arrivals, and special requests

  • Support hosting of visitors and VIPs with professionalism and warmth

Culture & Engagement
  • Plan executive team celebrations, recognition moments, and cultural touchpoints

  • Contribute to a positive, detail-oriented, service-driven workplace

Cross-Functional Collaboration
  • Support departments across the organization during peak needs

  • Maintain confidential records and tracking systems (membership, HOA, real estate, assets, etc.)

Professional Standards
  • Uphold high levels of professionalism, discretion, and service excellence

  • Protect confidential information and model organizational values

QUALIFICATIONSRequired
  • 3–5+ years in admin, hospitality, luxury resort, or hotel operations

  • Experience supporting senior leadership or executive offices

  • Strong understanding of resort operations (Guest Services, Hotel, F&B, Events, Spa, Activities)

  • Excellent communication, organization, and multitasking skills

  • High discretion with confidential information

  • Ability to prioritize, adapt quickly, and work cross-functionally

  • Google suites(including google calendar)
