Our client is a well-established professional services firm providing accounting, advisory, and business services to a diverse range of clients. They are seeking a polished and highly organized Executive Administrative Assistant to support senior leadership during a temporary engagement.

  • Summary:
    • Provide high-level administrative support to senior leaders in a fast-paced professional environment.
    • Manage calendars, appointments, meetings, travel arrangements, and other executive-level administrative needs.
    • Prepare, format, edit, and proofread business documents, presentations, spreadsheets, and correspondence.
    • Assist with meeting coordination, expense reports, contact research, and special projects.
    • Provide reception and general office support as needed.

  • Responsibilities:
    • Coordinate calendars, appointments, meetings, and scheduling for senior leaders.
    • Research and coordinate travel arrangements and related logistics.
    • Prepare and submit expense reports.
    • Record and distribute meeting minutes and follow-up items as requested.
    • Create, format, edit, and proofread correspondence, presentations, spreadsheets, and other business documents.
    • Research business contacts and organize information in spreadsheets.
    • Use mail merge and related tools to support email communications and distributions.
    • Provide reception coverage as needed, including greeting visitors and answering and routing phone calls.
    • Provide additional administrative and project support based on business needs.
    • Assist with formatting, preparing, scanning, transmitting, and filing financial statements and audit-related documents as needed. Training will be provided.

  • Requirements:
    • Bachelor's degree OR high school diploma/GED with at least four years of relevant experience.
    • Previous experience providing administrative support to executive-level professionals preferred.
    • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
    • Strong written and verbal communication skills.
    • Excellent proofreading, editing, and organizational skills.
    • Ability to manage multiple priorities and deadlines with minimal supervision.
    • Professional, dependable, and comfortable working with leadership and clients.
    • Ability to handle confidential information with discretion.
    • Previous experience in professional services, accounting, financial services, or consulting is a plus.
    • Experience with financial statements or audit-related documents is preferred but not required.
