Job description

FlexTek, LLC is partnering with a respected industry leader to identify an experienced Executive Assistant for a temporary-to-hire opportunity supporting three senior executives in a fast-paced corporate office in Dallas. This has the potential to transition into a permanent position based on performance.
As the sole Executive Assistant supporting an office of approximately 35 employees, you'll play a critical role in ensuring executive operations and office administration run smoothly while serving as a trusted business partner to senior leadership.
Key Responsibilities
  • Provide executive support to three senior leaders, including complex calendar management and scheduling.
  • Coordinate domestic travel arrangements and prepare detailed travel itineraries.
  • Process and reconcile executive expense reports using Concur.
  • Plan and coordinate meetings, department retreats, customer events, conferences, vendor visits, and executive dinners.
  • Organize and support internal and external meetings ranging from 30-60 attendees.
  • Reserve conference rooms and oversee meeting logistics.
  • Serve as the front desk receptionist by greeting visitors, coordinating vendor access, and managing the secured badge-access check-in process.
  • Order and maintain office supplies while supporting daily office operations.
  • Anticipate executive needs, prioritize competing requests, and maintain strict confidentiality.
Qualifications
  • Previous experience supporting multiple executives simultaneously in a corporate environment.
  • Proven expertise managing complex calendars, coordinating travel, and processing Concur expense reports.
  • Experience planning corporate meetings, events, and office functions.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Executive presence with the ability to anticipate needs and proactively solve problems.
  • Outstanding interpersonal and communication skills with a polished, professional demeanor.
  • Reliable, dependable, and committed to working onsite in a collaborative office environment.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
