The Opportunity

We are hiring aย Technical Operations Coordinator (TOC)ย โ€” the operational gatekeeper between our sales and production teams. Every project that moves into the field passes through you first, and your accuracy, organization, and follow-through directly protect WestPro's brand, profitability, and execution standards.

What You Will Do:

Code Compliance and Permitting

  • Review all project scopes, contracts, and plans against applicable local and state building codes
  • Verify code requirements for siding, roofing, windows, doors, and all exterior systems
  • Prepare, submit, and track permit applications with municipalities across WestPro's service area
  • Coordinate with building departments on revisions, comments, and approvals
  • Monitor permit expiration dates and manage renewals
  • Regularly monitor municipality websites across Boulder, Weld, Larimer, Broomfield, and Denver Counties for building code updates
  • Enter every project address into the Colorado Wildfire Resiliency Code Map and document the zone designation for the Project Manager

Material Accuracy and Procurement

  • Calculate the target profit margin for every project before production review begins
  • Generate precise material takeoffs from approved contracts, measurements, and project documentation
  • Verify quantities for siding, roofing, trim, windows, flashing, fasteners, and all related components
  • Place and coordinate material orders with approved suppliers via the ABC Portal and Vendor Portal
  • Create accurate labor orders in Acculynx with correct labor rates for all project types
  • Monitor delivery schedules and proactively communicate delays or issues
  • Resolve supplier errors, shortages, or damage claims quickly

Pricing Integrity

  • Maintain WestPro's internal pricing database โ€” the single source of truth for all material costs
  • Conduct monthly pricing audits against all active vendor price sheets
  • Track supplier price increases and notify leadership immediately
  • Update estimating templates and contract pricing tools to ensure accuracy across all systems

Vendor and Material System Management

  • Maintain the Approved Vendor List, Standard SKU Library, Vendor Lead Time Matrix, and pre-built material packages
  • Report vendor performance issues at the weekly Production Meeting
  • Escalate persistent vendor problems to the Residential Production Manager

Operational Support

  • Prepare Pre-Construction packages for Project Managers before every Pre-Con meeting
  • Prepare a structured agenda and question list for the weekly Production Meeting
  • Participate in bi-weekly Goal Setting and Review meetings with the Residential Production Manager
  • Conduct one-day onboarding training for new team members
  • Cross-train with the WestPro Scheduler on permit-to-scheduling handoffs and delivery coordination

You will not have direct contact with homeowners. All homeowner communication is handled by the Sales Consultant and Project Manager.

What a Typical Day Looks Like:

Your day runsย Monday through Friday, 7:30 AM โ€“ 4:30 PM.ย Here is what it looks like in practice:

  • 7:30 AMย โ€” Pull the TOC Dashboard report in Acculynx. Know the status of every active project before you do anything else.
  • Morningย โ€” Check the permit tracker, follow up with municipalities, open new Tech Review projects, verify documents, review project photos, run pre-production reviews, calculate target profit margins, check the Wildfire Resiliency Code Map, and verify vendor order confirmations.
  • Mid-morningย โ€” Create material takeoffs and labor orders for approved projects.
  • Afternoonย โ€” Place material orders, submit permits, notify the Scheduler with permit timelines, and prepare Pre-Con packages for Project Managers.
  • Late afternoonย โ€” Update all Acculynx records, log every action taken, and prep for tomorrow.
  • Every Fridayย โ€” Check municipality websites across all five county service areas for building code updates.

No project moves to the field without passing through you first.

What We Are Looking For:

Required:

  • 2โ€“5 years of experience in construction, home improvement, or exterior contracting
  • Exceptional attention to detail โ€” this role exists to catch problems before they cost the company time and money
  • Ability to read and interpret construction contracts, scopes of work, and site diagrams
  • Familiarity with residential building codes and permitting processes
  • Experience with material takeoffs and vendor coordination
  • Proficiency with project management or CRM software (Acculynx experience is a plus)
  • Clear, proactive written and verbal communicator
  • Highly organized and self-directed โ€” able to manage multiple active projects simultaneously without losing accuracy
  • Willingness to push back on incomplete or incorrect work โ€” professionally and consistently

Preferred:

  • Direct experience with residential roofing, siding, windows, or doors
  • Familiarity with local permitting in the Northern Colorado/Boulder County area
  • Knowledge of building codes for exterior envelope work (house wrap, underlayments, U-Factor, SHGC, tempered glass)
  • Experience with vendor portals and purchase order management.

What Success Looks Like at 90 Days:

  • Every project passes through your pre-production review before moving to production โ€” no exceptions
  • The Acculynx permit tracker is current and accurate at all times
  • No project has entered production without an approved permit
  • All labor orders reflect the correct rate and are saved as approved
  • The TOC Thread on every active project shows a complete, timestamped record
  • You are operating independently within your defined authority โ€” escalating when needed, owning everything else

Compensation and Benefits

Salary$65,000 per year, paid weekly

PTOย 3 weeks per year; 40 hours awarded after 30-day probationary period, then accruing at 1.67 hours/week (up to 120-hour maximum)

Uniforms:ย This is an office position, so office casual will be allowed, but WestPro shirts, sweatshirts, and hats are provided
