Job description

Position Description: The Student Records Specialist is responsible for maintaining the accuracy and integrity of student academic records. This position supports enrollment and records management functions, including transcript processing, enrollment verification, data maintenance, and ensures confidentiality of all student data. Position Responsibilities: 20.00% - Evaluate and update student records in accordance with institutional policies and academic regulations, and provide support for processing international student admissions documentation and potential Designated School Official (DSO) duties. 5.00% - Performs other duties as needed or assigned. 20.00% - Process and maintain student academic records including transcripts and enrollment information. 5.00% - Process enrollment verifications. 10.00% - Perform data entry, verification, and records cleanup to ensure data accuracy and integrity. 10.00% - Respond to student, faculty, and staff inquiries regarding academic records, enrollment status, and registration. 10.00% - Ensure compliance with institutional policies and federal regulations, including the Family Educational Rights and Privacy Act and maintain confidentiality of student information and records at all times. 10.00% - Collaborate with other college departments to assist student record collections and compliance, resolve record-related issues, and improve operational efficiency. 10.00% - Collaborate as a member of the Enrollment Services team and support the overall departmental operations including assisting with enrollments, graduation, transcript evaluation, and all Enrollment Services departmental responsibilities. Expectations: Maintain the highest level of confidentiality. To maintain a customer friendly environment . To process accurate and timely information for students' records with zero errors. To demonstrate commitment to the highest ethical standards of professional practice, as well as personal and professional integrity. To maintain a cooperative working relationship with internal and external customers. Knowledge, Skills and Abilities: Experience - Six months to two years of similar or related experience. Education - A high school education or GED. Interpersonal Skills - Courtesy, tact, and diplomacy are essential elements of the job. Work involves much personal contact with others inside and/or outside the college for purposes of giving or obtaining information, building relationships, or soliciting cooperation. Other Skills - Effective interpersonal, written and oral communication skills. Excellent computer skills. Must be detail oriented and extremely accurate. Must be team oriented. Associates degree preferred, but not required.
Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to perform the work. Regular exposure to favorable conditions such as those found in a normal office or classroom. Wages/Other:
