Job Description

The TRIO Student Support Services (SSS) Administrative Specialist provides and coordinates administrative support for the Office of TRIO Student Support Services, to include, but not limited to performing a variety of administrative, clerical, and data entry duties that are necessary for the efficient operation of the TRIO SSS program. This position reports to the Director of TRIO Student Support Services. This position is grant funded over a five-year cycle and dependent on the renewal of the grant for continuation.

Salary information: The expected salary for this position is $36,278.00 annually.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Provide and coordinate all administrative support operations for TRIO SSS.
  • Coordinate meetings, appointments, events, itineraries, and travel arrangements.
  • Prepare correspondence, agendas, and minutes of meetings.
  • Coordinate the maintenance of files, records, office supplies, office equipment, mailings, and communication plan.
  • Provide recommendations for process improvements and new initiatives.
  • Develop and maintain administrative and technical procedure manual.
  • Maintain budget information manually using spreadsheet applications and software.
  • Maintain comprehensive student participant records and filing systems in accordance with university and federal guidelines.
  • Input participant data and maintain computerized student database program.
  • Prepare, review, and analyze relevant reports and documents for program effectiveness.
  • Assist in the recruiting and retention efforts of the program.
  • Relay current information via social media sites and e-mail.
  • Create and distribute marketing and recruiting materials.
  • Provide front office management, and all other duties as outlined in the grant and/or assigned by supervisor(s).

KNOWLEDGE, SKILLS & ABILITIES:

Minimum Qualifications

  • Bachelor's degree or equivalent combination of education and experience.
  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Ability to multitask and work cooperatively with others.
  • Interpersonal and communication skills.
  • Planning and organization skills.

Preferred Qualifications

  • Experience in data entry, budgeting, and record maintenance skills.
  • Ability to create marketing and recruiting material.
  • Understanding of barriers facing low-income students, first-generation college students, and students with disabilities.
  • General knowledge of federal TRIO programs or similar programs.

Other Requirements

  • Ability to maintain confidentiality.
  • Ability to occasionally work beyond normal business hours.
