About The Role
Hello Patient is growing its Implementation team and hiring an implementation Specialist to help more practices launch successfully on Hello Patient.
In a typical week, you'll be juggling a few customer launches at once - running kickoff calls, managing timelines, and keeping customer stakeholders and internal teams aligned through go-live. You'll configure workflows in Hello Patient, troubleshoot issues as they come up, and make sure teams are trained and ready so our AI agents deliver value from day one.
You'll work directly with customer leaders (often clinicians, ops managers, and executives) to set expectations, communicate progress, and drive adoption. Internally, you'll partner closely with AI Agent Product Managers (who own net-new builds), Conversational Designers, Engineering, QA, and Customer Success to surface risks early, unblock work fast, and ensure clean handoffs after launch.
As an implementation specialist, you'll help scale what works - owning implementations end-to-end for repeatable use cases, and serving as the execution backbone for zero-to-one launches by driving coordination, timelines, and adoption without sacrificing quality.
This is a high-ownership, highly visible role at the center of our growth engine. Implementations are where customers decide if they'll adopt, expand, and stick with Hello Patient - and your work will directly influence retention, expansion, and measurable customer outcomes.
What You'll Do
Configure Workflows & Agent Refinement
  • Configure Hello Patient workflows to match how each practice operates day to day
  • Help drive discovery through requirements gathering and stakeholder collaboration
  • Validate requirements, manage dependencies, and ensure clean setup and access
  • Become an expert in phone configurations and telephony systems
  • Setup outbound agent campaigns and performance monitoring
  • Extensively test new agents prior to go-live, ensuring quality and reliability
Drive the Implementation Plan + Keep Everyone Aligned
  • Help drive the implementation plan, ensuring that weekly milestones are met to launch, and the team is not blocked in any aspect of agent delivery
  • Own timelines, stakeholders, and communication to keep projects moving
  • Track risks, resolve blockers quickly, and keep expectations clear
  • Own & drive 1->10 agent expansions by getting new customer locations live
Partner on Zero-to-One Builds
  • Support AI Agent Product Managers on net-new launches and pilots
  • Provide structure and coordination (project plan, status updates, risk tracking)
  • Help ensure smooth execution while Product/Design own solution definition
Train Teams + Drive Adoption
  • Deliver customer trainings (live + recorded) and create simple enablement materials
  • Ensure teams are ready at launch and confident using the product
  • Monitor early usage, triage issues, and coordinate fixes to improve adoption

What We're Looking For
Must have
  • 3+ years in software implementation, onboarding, solutions delivery, or technical project management
  • Track record managing multiple projects at once with strong organization and attention to detail
  • Confident, polished customer presence - comfortable with clinicians, operators, and exec stakeholders
  • Working knowledge of APIs and webhooks
  • Comfort with how systems integrate and data moves between tools
  • Startup mindset: you thrive in fast-changing environments and take ownership without waiting to be told

Preferred
  • Experience in healthcare tech, SaaS workflows, or integration-heavy products
  • Familiarity with EHR/PM systems, telephony tools, or SSO providers
  • AI-native workflows - you use AI tools to move faster and work smarter
  • Experience creating playbooks, templates, documentation, or scalable implementation processes

Compensation
Base salary: $90,000 -$120,000
