Job description

Senior Payroll Specialist

Location: Montreal, in-office


Reporting to the Head of Human Resources, the Senior Payroll Specialist will be responsible for the end-to-end administration of payroll for over 200 employees across Canada, the United States, and the United Kingdom. The Senior Payroll Specialist will ensure that company payroll is processed accurately, on time, and in compliance with all applicable legislation, while supporting payroll system administration, benefits administration, audits, and continuous process improvement. The Senior Payroll Specialist will also closely collaborate with the Finance Department to ensure statement reconciliations and timely payments of payroll remittances.


Responsibilities:


  • Input, audit, and process monthly, semi-monthly, and bi-weekly payroll for all employees across the US, the UK and Canada;
  • Ensure compliance with applicable federal, provincial, state, and local payroll legislation across all relevant geos;
  • Prepare, reconcile, and submit payroll remittances and regulatory filings to federal, provincial, state, and local authorities, partnering with external tax providers where applicable;
  • Manage Canadian and US benefits program enrolments and rate updates;
  • Provide updates with regards to global payroll regulations;
  • Partner with HR for onboarding and offboarding;
  • Assist with the preparation and execution of year-end audits and tasks;
  • Prepare monthly reports for Finance or other departments as needed;
  • Conduct regularly scheduled audits of payroll records to ensure continued accuracy;
  • Maintain payroll system by updating configurations and creating support tickets for any errors;
  • Identify opportunities to automate and improve payroll processes through AI and other technology solutions.


Requirements:


  • Minimum five (5) years of progressive payroll experience, including end-to-end payroll processing and payroll auditing.
  • Significant experience processing payroll in the United States (multi-state experience required) required, as well as experience with Canadian payroll. Experience supporting UK payroll is considered an asset.
  • Strong knowledge of applicable payroll legislation, taxation, remittances, and year-end
  • processing.
  • Postsecondary education in accounting, finance, business administration, or a related field is considered an asset.
  • Experience administering employee benefits and retirement savings plans.
  • Experience using payroll software; experience using Dayforce an asset
  • Advanced Excel skills including Pivot Tables, XLOOKUP, and data reconciliation.
  • Payroll Compliance Practitioner (PCP) or Certified Payroll Professional (CPP) designation –an asset

Relevant du chef des Ressources humaines, le/la Spécialiste principal(e) de la paie sera responsable de l'administration complète de la paie pour plus de 200 employés au Canada, aux États-Unis et au Royaume-Uni. Le/la Spécialiste principal(e) de la paie veillera à ce que la paie de l'entreprise soit traitée avec exactitude, dans les délais, et en conformité avec toute la législation applicable, tout en assurant le soutien de l'administration du système de paie, de l'administration des avantages sociaux, des audits et de l'amélioration continue des processus. Le/la Spécialiste principal(e) de la paie collaborera également étroitement avec le Service des finances afin d'assurer la réconciliation des relevés et le paiement en temps opportun des remises de paie.


Responsabilités :


  • Saisir, vérifier et traiter la paie mensuelle, semi-mensuelle et bihebdomadaire pour l'ensemble des employés aux États-Unis, au Royaume-Uni et au Canada;
  • Assurer la conformité avec la législation fédérale, provinciale, étatique et locale applicable en matière de paie dans toutes les régions concernées;
  • Préparer, réconcilier et soumettre les remises de paie et les déclarations réglementaires aux autorités fédérales, provinciales, étatiques et locales, en collaboration avec des fournisseurs fiscaux externes au besoin;
  • Gérer les inscriptions aux programmes d'avantages sociaux canadiens et américains ainsi que la mise à jour des taux;
  • Fournir des mises à jour concernant la réglementation mondiale en matière de paie;
  • Collaborer avec les RH pour l'accueil et le départ des employés;
  • Participer à la préparation et à l'exécution des audits et tâches de fin d'année;
  • Préparer des rapports mensuels pour le Service des finances ou d'autres départements, au besoin;
  • Effectuer des audits réguliers des registres de paie afin d'en assurer l'exactitude continue;
  • Assurer la maintenance du système de paie en mettant à jour les configurations et en créant des billets de soutien pour toute erreur;
  • Repérer les occasions d'automatiser et d'améliorer les processus de paie grâce à l'IA et à d'autres solutions technologiques.


Exigences :


  • Minimum de cinq (5) années d'expérience progressive en paie, incluant le traitement complet de la paie et l'audit de paie.
  • Expérience significative dans le traitement de la paie aux États-Unis (expérience multi-états requise), ainsi qu'une expérience en paie canadienne. Une expérience en soutien à la paie britannique est considérée comme un atout.
  • Solide connaissance de la législation applicable en matière de paie, de la fiscalité, des remises et du traitement de fin d'année.
  • Formation postsecondaire en comptabilité, finance, administration des affaires ou domaine connexe considérée comme un atout.
  • Expérience dans l'administration des avantages sociaux des employés et des régimes d'épargne-retraite.
  • Expérience avec des logiciels de paie; l'expérience avec Dayforce est un atout.
  • Compétences avancées en Excel, incluant les tableaux croisés dynamiques, XLOOKUP et la réconciliation de données.
