Operations Associate

The School Operations Associate plays a key role in supporting the school's day-to-day functions and operations. This position helps ensure smooth communication, efficient processes, and a safe, welcoming environment for students, families, and staff. The role includes a variety of tasks related to attendance management, school events, attendance & enrollment support, parent communications, school supplies, and student safety. The ideal candidate will be proactive, highly organized, and dedicated to supporting administrative and operational needs.

Key Responsibilities:

School Operations Support:

  • Assist with the implementation of daily school operations policies and procedures.
  • Oversee key operational functions such as arrival and dismissal procedures, ensuring safe and smooth student transitions.
  • Support families in reaching out to the transportation provider for changes in transportation and communicating transportation changes to key internal stakeholders.
  • Support the maintenance of school-wide systems and processes, including supply management and classroom operations.
  • Ensure classrooms are stocked daily with necessary materials and monitor cleanliness and orderliness at the end of each school day, adhering to quality measures.
  • Manage campus supply systems, including conducting bi-weekly inventories of supplies, ordering new materials as needed, and ensuring stock levels are maintained.
  • Coordinate with the district health coordinator/school nurse to ensure the health and safety of students and assist with any cleaning or safety needs.

Attendance and Communication:

  • Support the school attendance process by maintaining accurate attendance records and making daily attendance calls based on guidance from the PEIMS team.
  • Document and report attendance changes as needed, ensuring timely and accurate reporting, including tardies and medical excuses.
  • Ensure clear and effective communication with all community members and stakeholders, including families, teachers, and school staff.
  • Manage all incoming and outgoing phone calls for the school, ensuring prompt and professional responses to parent inquiries.
  • Support the scheduling of parent meetings with appropriate school team members and ensure all parent-facing materials are available and up to date.
  • Assist with school communications by preparing and sending family updates and school-specific notices.

Student and Family Support:

  • Communicate effectively with students, families, and colleagues, responding to family concerns promptly and professionally.
  • Assist in providing translation support for Spanish-speaking families, facilitating effective communication with school leaders and teachers.
  • Ensure the school environment is orderly, responsive, and welcoming to students and families.
  • Manage student behavior by providing consistent rewards and consequences, ensuring students adhere to the school's core values and code of conduct.

Event and Activity Support:

  • Assist with school events, parent engagement activities, and field trips as needed.
  • Support the planning and execution of school events and activities, ensuring smooth coordination and organization.

Compliance and Reporting:

  • Support the administration of the National School Breakfast Program, National School Lunch Program, and after-school snacks, ensuring all programs meet compliance standards.
  • Assist with tracking and ensuring the accurate completion of required documentation for student information, health and safety records, and attendance.
  • Assist with managing the collection and maintenance of student, personnel, and school records, ensuring that all forms, contact information, and paperwork are up to date-and accurate.
  • Adhere to policies and procedures outlined in the Faculty and Staff Handbook, and all other Etoile guidelines.

General School Operations:

  • Perform general duties to support the smooth operation of the school, including hallway supervision, supporting arrival and departure transitions, and participating in school-wide responsibilities as requested by school leaders.
  • Coordinate with service providers and maintenance staff to ensure school facilities are clean, safe, and well-maintained.
  • Support technology and basic classroom operations, ensuring that systems function and staff have the necessary resources.
