Job description

JOB TITLE: Operations Associate

REPORTS TO: Director of Operations


JOB GOAL: The Operations Coordinator is responsible for supporting the Director of Operations in ensuring the smooth day-to-day school operations as it serves a vital element of a healthy school along with academics and culture. The Assistant Director of Operations will assist the Director of Operations with facilities maintenance, family communication platforms, school level attendance and chronic absenteeism.


MAJOR PERFORMANCE RESPONSIBILITIES AND DUTIES:

Facilities

  • Manage the school level ticketing system for issues within the building and route specific issues to the appropriate person and/or entity

  • Regularly communicate with custodians as needs arise during the day

  • Support with preparing the facilities for student and teacher return over the summer

  • Support with compliance issues as needed (i.e. monthly elevator checks)

  • Work with the Director of Operations to regularly gather data from school staff as to the cleanliness of buildings

  • Support teachers with unexpected facilities needs that arise during the school day (AC goes out and classrooms need to be switched or fans are needed, ceiling leaks, etc)


Communication

  • Collaborate with Front Office staff to create a streamlined communication plan for families that includes but is not limited to Talking Points, Blackboard, Weekly Notes and Emails

  • Support the Front Office staff in creating systems that allow quarterly updates to family contact information (including gathering email addresses) in order to maintain accurate and up-to-date family communication

  • Support the Office Manager in creating incentives to increase and track teacher participation in contacting families

  • Gather information to create a weekly or monthly newsletter to send to families

  • Collaborate with Director of Operations to create a quarterly Operations newsletter in order to keep staff informed about what is happening on campus as it relates to operations


Attendance

  • Assist with Daily Attendance and data accuracy as needed

  • Support, and in some cases lead, the Attendance Team and have direct responsibility for Chronic Absenteeism at the school level

    • Manage data to be analyzed and used by team

    • Organize process for outreach, attendance meetings and attendance plans for students

    • Create and manage attendance incentives

  • Support Office Manager with filing truancy petitions


Technology/Equipment Support

  • Support the Associate Director of Data and Technology and Director of Operations to ensure that all staff have access to working resources including copiers, printers, equipment, and laptops.

  • Support the Associate Director of Data and Technology with taking and maintaining inventory of all devices including student chromebooks, staff computers, hotspots, etc.

  • Support the Office Assistant with problem solving student tech issues during the school day as needed


Additional Responsibilities

  • Work with the Principal to arrange coverage for teacher and staff outages by working with Kelly Services or finding in house coverage

  • Assist with Special Projects as they come up throughout the school year, i.e. Teacher Appreciation Week, Vendor Appreciation Days (Nurses, Food Services, Bus Drivers), TN Ready, COVID Protocols, Special Events

  • Transportation support where needed


Qualifications:

  • GED required

    • Bachelor's degree preferred

  • 3+ years working in school systems preferred

  • Experience in K-12 School Operations preferred

  • Customer service focus

  • Strong interpersonal and communication skills

  • Ability to work independently with a high degree of accuracy

  • Belief in the LEAD mission of developing responsible citizens who will graduate and be accepted to a Four-Year College or University

  • Ability to quickly build relationships with a wide range of stakeholders

  • Flexibility to lead and attend initiatives and events on evenings and weekends

This is a full-time position. Compensation is competitive and commensurate with experience and includes full benefits and technology provisions.
