Job description

Job Summary:
We are currently seeking a highly organized and efficient Scheduling Representative to join our team. As a Scheduling Representative, your primary responsibility will be to schedule home inspection appointments for clients. You will play a crucial role in coordinating the logistics, dispatching inspectors to work locations, and ensuring a smooth and accurate schedule of pending jobs. Effective communication and customer service skills are essential to provide excellent support to our policyholders and maintain strong relationships with our team of inspectors.
Responsibilities:
  • Manage a high volume of inbound and outbound calls, averaging 100-200 calls per day.
  • Schedule work orders and efficiently dispatch home inspectors to various inspection locations across Florida.
  • Develop optimized routes for home inspectors, ensuring efficient use of time and resources.
  • Maintain continuous communication with inspectors throughout the day to monitor their schedules and address any changes or challenges.
  • Clearly explain the home inspection process and its importance to our customers, ensuring their understanding and satisfaction.
  • Foster positive relationships with inspectors and customers, proactively managing schedule changes to minimize stress and inconvenience.
  • Collaborate with other departments and agencies regarding our policyholders to address any specific requirements or concerns.
  • Monitor schedule changes and work closely with customers to find suitable alternatives that accommodate their needs.
  • Confirm scheduled appointments with policyholders, ensuring their availability and readiness for the Field Risk Evaluators.
  • Handle inbound calls from policyholders, addressing logistical issues related to scheduled work and resolving general complaints.
  • Accurately process and record inspection payments utilizing our payment processing systems and software to facilitate smooth and secure transactions.
  • Perform additional duties as assigned to support the smooth operation of the scheduling process.
Qualifications:
  • High school diploma or equivalent.
  • Minimum of six months of relevant scheduling or customer service experience and/or training, or an equivalent combination of experience and training.
  • General knowledge of underwriting/construction is preferred, but not required.
  • Ability to work independently within the given parameters, following instructions and established procedures.
  • Proficient in interpreting a variety of instructions provided in written, verbal, diagram, or schedule format.
  • Familiarity with Microsoft Office software and other related business software.
