How does a remote recruiting coordinator effectively collaborate with hiring managers and candidates while working from home?

As a Remote Recruiting Coordinator, you will primarily use digital communication tools like email, video conferencing, and applicant tracking systems to stay connected with hiring managers and candidates. Building strong relationships requires proactive scheduling, timely follow-ups, and clear documentation to ensure a seamless hiring process. You'll often coordinate interviews across time zones and manage multiple priorities, so strong organizational and communication skills are essential. Regular virtual meetings and updates help keep everyone aligned, making remote collaboration both efficient and productive.

What does a remote recruiting coordinator do?

A Remote Recruiting Coordinator is responsible for supporting the hiring process from a remote location. Their duties typically include scheduling interviews, communicating with candidates, coordinating with hiring managers, managing applicant tracking systems, and ensuring a smooth recruitment workflow. They play a key role in maintaining timely communication and organizing the logistics of hiring, all while working outside of a traditional office setting. This role requires strong organizational, communication, and time-management skills, as well as proficiency in digital collaboration tools.

What are the key skills and qualifications needed to thrive as a remote recruiting coordinator?

To thrive as a Remote Recruiting Coordinator, you need a solid understanding of recruitment processes, strong organizational skills, and experience with applicant tracking systems (ATS) and HR databases. Familiarity with virtual meeting platforms, calendar management tools, and sometimes HR certifications like SHRM-CP or PHR are typically valuable. Outstanding communication, attention to detail, and time management are critical soft skills for building relationships with candidates and coordinating efficiently across teams. These abilities are essential for ensuring a smooth, professional recruitment experience and meeting hiring goals in a remote work environment.

What does a remote recruiting coordinator do?

As a remote recruiting coordinator, you work from home to help an HR department manage its hiring strategies. In this role, you use virtual office software to consult with managers and determine the ideal traits a candidate should have for each role, help review each employee interview, and post job descriptions to career websites and other advertising outlets. Other duties include sourcing candidates, evaluating resumes, helping to test applicants, providing shortlists of applicants to hiring managers, and virtually training HR staff. Since this is a remote role, you use online conferencing apps to stay in touch with coworkers and candidates.

Job description

About Zip
Zip is the AI platform for enterprise procurement - built for humans and agents working together. By orchestrating procurement across teams, tools, and suppliers with the help of AI agents, companies can secure the resources they need to innovate faster than ever before.
The world's most influential enterprises trust Zip, including T-Mobile, OpenAI, AMD, Mars, Dollar Tree, and more. Together they've saved over $8 billion and processed over $500 billion in spend. Zip's team includes product leaders from Apple, Airbnb, and Meta, as well as former procurement leaders from United Health, Sanofi, MGM Resorts, Discover, and NASA.
Backed by Adams Street, Alkeon, BOND, CRV, DST, Tiger Global, and Y Combinator, Zip has raised $371 million, most recently at a $2.2 billion valuation and has been recognized by Forbes Fintech 50, Fast Company's Most Innovative Companies, Inc. Best in Business, and LinkedIn Top Startups.
Your Role
You're the first real impression a candidate gets of Zip. We're looking for a Recruiting Coordinator who owns both the interviewer and candidate experience end to end, and who genuinely loves being the person who makes a chaotic process feel effortless.
This is a career-building seat, not a support seat. You'll build processes from the ground up, lead candidate experience projects, and work shoulder to shoulder with recruiters and hiring managers to shape how Zip hires. If you're organized enough that nothing slips, warm enough that candidates remember you fondly, and curious enough to keep making the process better, this role is built for you. You'll report to our Head of Recruiting Operations.
You Will
  • Coordinate a high volume of interviews and keep recruiting calendars running like clockwork
  • Partner closely with recruiters and hiring managers to design a candidate experience people actually talk about
  • Guide candidates and internal partners through the interview process with clear, timely communication
  • Maintain and improve our internal systems and tools (we use Ashby), always looking for a better way to do things
  • Anticipate needs and solve last-minute problems on the fly, then build the longer-term fix so they don't happen again
  • Contribute to projects spanning candidate sourcing, reporting, referral program development, candidate surveys, and more
  • Handle confidential information with integrity and discretion
Qualifications
  • 1+ years in a recruiting coordinator, recruiting operations, or similar role in a fast-paced environment
  • Strong desire to build a career in recruiting or HR
  • Strong sense of ownership
  • Organized, reliable, responsive, and detail-oriented (nothing falls through the cracks!)
  • Ability to connect and effectively communicate with people at all levels
  • Ability to stay calm and execute in a fast-moving environment
  • Customer-oriented while being positive
  • Ability to manage multiple projects at the same time
  • Exceptional communication skills
  • Process-oriented and enjoys continuously improving things
Nice to Haves
  • Experience in a start-up environment
  • Experience using and optimizing Ashby
  • Comfortable using AI tools to work more efficiently

The salary range for this role is $75,000-$90,000. The salary for this position is determined based on a variety of job-related factors that may include location, relevant experience, education, or particular skills and expertise.
Perks & Benefits
At Zip, we're committed to providing our employees with everything they need to do their best work.
  • Start-up equity
  • Full health, vision & dental coverage
  • Team building events & happy hours
  • Flexible PTO
  • Apple equipment plus home office budget
  • 401k plan

We're looking to hire Zipsters and that means hiring people who take ownership, communicate openly, have an underdog mindset, and are excited to increase the pace of innovation for every business in the world. We encourage all candidates to apply even if your experience doesn't exactly match up to our job description. We are committed to building a diverse and inclusive workspace where everyone (regardless of age, religion, ethnicity, gender, sexual orientation, and more) feels like they belong. We look forward to hearing from you!
