Operations Coordinator (Home Care Operations)

$28-$30/hour + full benefits

Monday-Friday, 11:00 AM-8:00 PM

About the Role

Tandem Care is hiring an Operations Coordinator to provide cross-line operational support across our Continuous Care, Targeted Care, and On Demand service lines.

This role is designed for someone who thrives in fast-paced, high-volume home care operations and is comfortable being the operational "floor" during the late-morning through evening window. You'll help keep service running smoothly as the day team transitions off shift - answering client and caregiver calls, handling same-day and next-day schedule changes, supporting scheduling logistics, documenting updates, reviewing visit notes for compliance issues, and executing recurring operations tasks.

This is not a passive administrative role. You will be actively helping solve real-time operational issues across multiple care programs, communicating with clients and caregivers, coordinating with internal teams, and making sure nothing falls through the cracks.

What You'll Be Doing
  • Answer inbound calls from clients, families, and caregivers across Tandem's 3 service lines
  • Triage calls professionally, document updates clearly, and route follow-up to the appropriate team member
  • Take over reactive schedule support in the afternoon, including caregiver call-outs, same-day changes, and next-day adjustments
  • Process schedule requests for families who need to add, move, or adjust care visits
  • Support the scheduling team with schedule mechanics when needed
  • Return and resolve voicemails received during your shift
  • Review caregiver visit notes for completeness, basic professionalism, and obvious safety concerns
  • Escalate urgent client or caregiver issues to the appropriate manager
  • Monitor caregiver engagement signals, including visit note completion, app usage, and responsiveness
  • Help identify patterns that may indicate caregiver reliability or retention concerns
  • Execute recurring operational tasks, including payroll audits, billing audits, reimbursements, long-term care insurance submissions, and holiday billing support
  • Support caregiver recognition efforts, including birthdays, anniversaries, milestones, and post-difficult-visit check-ins
  • Maintain accurate documentation of all client and caregiver interactions
  • Post an end-of-shift summary so the morning team knows what was handled, what is pending, and what needs attention first thing the next day
  • Collaborate closely with Operations, Care Coordination, Scheduling, Recruiting, and Care Management teams to ensure consistent service delivery

Qualifications
  • 2+ years of experience in home care operations, scheduling, care coordination, client services, or a similar role within a licensed home care agency
  • Direct experience communicating with caregivers and clients in a fast-paced care environment
  • Experience with schedule changes, call-outs, client requests, or caregiver support strongly preferred
  • Comfortable working remotely while staying highly responsive and organized
  • Strong written and verbal communication skills
  • Strong documentation habits and attention to detail
  • Ability to manage competing priorities and frequent context switching
  • Bachelor's degree preferred, but not required
