Meetings & Events Project Coordinator

We are looking for an ambitious, highly organized meetings and events professional to support the successful execution of client programs from start to finish. If you thrive in a fast-paced, detail-driven environment and enjoy delivering exceptional attendee experiences through strong coordination, data accuracy, and operational excellence, this is an exciting opportunity to make an impact.

Project Coordinator Responsibilities

Support Project Managers in the planning and execution of meetings and events, including national meetings, training programs, product launches, and incentive travel programs

Manage event logistics including registration coordination, attendee communications, rooming lists, travel coordination support, and program materials

Maintain and reconcile participant data across multiple systems, ensuring accuracy of registration, reporting, cancellations, and updates throughout the program lifecycle

Coordinate with vendors, hotels, and internal teams on signage, amenities, event materials, billing alignment, and post-event reporting

Core Competencies

Exceptional attention to detail with strong organizational, multitasking, and follow-through skills

Ability to thrive in a fast-paced, deadline-driven environment while managing multiple priorities simultaneously

Strong interpersonal and communication skills with the ability to professionally manage attendee inquiries and high email volumes

Project Coordinator Qualifications

35 years of meetings and events experience required

Advanced Excel proficiency including VLOOKUP, Pivot Tables, Conditional Formatting, and data reconciliation

Experience with Cvent preferred, or similar event or project management platforms

Fully remote role requiring the ability to travel domestically and internationally as needed
