About the Role

We’re seeking a Meeting & Event Planner/Housing Manager who excels in fast-paced environments and delivers exceptional client service. This role manages the full lifecycle of meetings, conferences, and group housing operations — from contract review and room block setup to on-site support and post-event reconciliation. You’ll serve as the primary point of contact for clients, hotels, and internal teams, ensuring every detail is accurate, every deadline is met, and every event runs seamlessly.

Primary Responsibilities

· Act as the primary point of contact for all client-related matters, ensuring clear communication and high satisfaction.

· Review event history and documentation to ensure accurate contract formulation and operational planning.

· Master hotel contract details and understand key elements that impact successful event and housing operations.

· Collaborate with hotel partners using Passkey’s Reservation Management System to build and manage room blocks, sub-blocks, and customized booking websites.

· Monitor and manage hotel block inventory to ensure availability through sell-through dates and resolve block pattern challenges.

· Oversee registration processes, attendee communication, and housing list accuracy.

· Lead on-site event execution as needed, including vendor coordination and real-time problem solving.

· Reconcile master accounts at event conclusion, ensuring accuracy and completeness.

· Partner closely with your assigned Housing Coordinator to deliver a seamless guest experience.

· Participate in client meetings, planning calls, and internal status updates.

· Maintain high productivity while delivering exceptional customer service in a fast-paced environment.

· Proactively anticipate client needs, identify issues early, and resolve concerns with professionalism.

· Demonstrate accountability by reviewing your own work and supporting team quality control.

· Support additional projects and responsibilities as assigned.

Technology & Accuracy Expectations

This role requires daily work across multiple systems, including Passkey and proprietary internal platforms. Success depends on your ability to:

· Learn new software workflows quickly with minimal repetition.

· Follow written procedures and apply training accurately.

· Maintain exceptional attention to detail with room blocks, inventory, deadlines, and communications.

· Self-review work and catch errors before they impact clients, hotels, or guests.

· Stay organized while working across multiple screens, browser tabs, and tools.

What You Bring

Required Qualifications

· Experience in hotel or group reservations, group sales, convention services, event services, or event planning.

· Strong project management skills, including:

o Ability to learn new software platforms quickly and apply training confidently.

o Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).

o High attention to detail and consistent accuracy in data entry and reporting.

o Ability to manage multiple priorities and system workflows without repeated errors.

o Strong problem-solving skills and ability to navigate varied situations.

o Ability to develop reports and business correspondence professionally.

· Strong communication skills with the ability to present information and respond to questions from sales, event operations, clients, and the general public.

· Dependable, self-motivated, and able to work independently while collaborating effectively with diverse teams.

· Experience with Passkey, Reglink/GroupMAX, registration systems, or property management systems is a plus.

· Ability to travel as needed for site visits and on-site event management.

Preferred Qualifications

· CMP, CMM, or other industry certification.

· Experience with large-scale conferences, multi-day events, or third-party planning agencies.

· Familiarity with housing operations, room block management, or hotel contracting.
