Job description

Responsibilities


  • Own end-to-end interview scheduling across multiple pipelines (80โ€“90% of the role)
  • Coordinate high-volume interview schedules using ATS and scheduling tools
  • Manage complex, bespoke scheduling for Research and Executive-level pipelines
  • Support large-scale Engineering, Product, Business, GTM, and non-technical hiring
  • Partner with recruiters, hiring managers, executive assistants, and executive business partners
  • Communicate clearly and professionally with candidates, interviewers, and stakeholders
  • Troubleshoot and resolve scheduling conflicts, declines, and last-minute changes
  • Manage โ€œfire drillsโ€ with calm urgency and strong problem-solving skills
  • Support both virtual and occasional in-person interviews (pipeline dependent)
  • Maintain accurate scheduling documentation and candidate records
  • Deliver a polished, welcoming candidate experience (including virtual greetings)


Qualifications


  • Proven Recruiting Coordination experience (must have done this role specifically)
  • Experience managing high-volume, fast-paced interview scheduling
  • Strong organizational skills with the ability to manage โ€œorganized chaosโ€
  • Exceptional written and verbal communication skills
  • Ability to remain calm and solutions-oriented when schedules change rapidly
  • Comfort working extensively in Slack and partnering cross-functionally
  • Experience working with executive stakeholders and/or executive assistants
  • Ability to self-schedule and manage competing priorities independently

  • Experience in both big tech and scrappy startup environments
