Job Description
This role is hybrid remote with 60% monthly in-office presence in Mount Prospect, Illinois. (3 days in office per week)
The Sales Contract and Rebate Analyst is a key member of the Sales Go-To-Market Operations team, responsible for the end-to-end management of sales contracts and customer rebate programs. This role ensures the accuracy, compliance, and operational efficiency of all contract and rebate activities. The analyst will also play a critical role in data analysis, process standardization, and the successful adoption of a new Contract Lifecycle Management (CLM) system, serving as an operational expert for Sales, Finance, and Customer Experience teams.
Key Responsibilities:
  1. Sales Contract & Rebate Management:
    • Govern the complete lifecycle of sales contracts, from creation and execution to storage and renewal, ensuring adherence to all commercial terms.
    • Administer all customer rebate programs, including accurate calculation, processing, and validation of payments in alignment with contract stipulations.
    • Serve as the primary operational owner for contract and rebate issue resolution, coordinating with Sales and Finance to address discrepancies.
    • Act as the backup for the research, validation, and resolution of customer compliance fines and chargebacks, collaborating with Logistics and Finance to dispute invalid claims.
  2. Process Governance & Standardization:
    • Define and enforce standardized processes for contract administration and rebate management to drive operational consistency and efficiency.
    • Act as the subject matter expert on dealer operational workflows related to contracts and pricing, providing critical support and process knowledge to the Customer Experience (CX) team.
    • Develop and maintain comprehensive documentation for all related processes, policies, and system workflows on the team's knowledge base (DocuPedia).
  3. Data Analysis & Reporting:
    • Conduct regular data analysis on contract performance, rebate effectiveness, and financial impact, generating actionable reports for leadership.
    • Ensure the integrity and accuracy of all contract and rebate data within SAP and other business systems.
    • Monitor key performance indicators (KPIs) for process efficiency, accuracy, and compliance.
  4. System & Implementation Ownership:
    • Lead the operational transition to a new Contract Lifecycle Management (CLM) system, including the migration of all legacy contracts.
    • Act as the business process owner for the CLM platform, ensuring data integrity, user support, and system effectiveness post-implementation.
    • Partner with IT, Digital, and S4 Hana implementation teams to support testing, requirements gathering, and process design for all contract and rebate-related system enhancements.
  5. Cross-Functional Collaboration:
    • Serve as the operational liaison between Sales, Legal, Finance, and Logistics to ensure seamless contract execution and alignment.
    • Provide expert guidance and training to internal stakeholders on contract terms, rebate program mechanics, and compliance requirements.
    • Partner with the Sales Enablement team to create and deliver communications regarding contract updates and new program launches.

Qualifications
  • Education: Bachelor's degree in Business, Finance, Accounting, or a related field (or equivalent professional experience).
  • Experience:
    • 2+ years of experience in contract management, sales operations, or financial analysis (preferably in a sales or rebate-focused role).
    • Experience working in highly collaborative, matrixed operational teams.
  • Technical Skills:
    • DocuSign Expertise: Demonstrated experience managing digital signature workflows, template creation, and document tracking within DocuSign preferred.
    • Advanced Excel: Strong proficiency in Microsoft Excel (e.g., XLOOKUP/VLOOKUP, pivot tables, data modeling, and formulas) to execute complex rebate calculations and data analysis required.
    • Systems & ERPs: Experience working with contract management software/CLM platforms, CRM systems, and ERPs required, SAP/S4 Hana experience preferred.
    • Legacy Repositories: Familiarity migrating files from legacy document management systems (such as PaperVision) is highly preferred.
  • Certifications: Certification in Contract Management (e.g., CCCM or CPCM) is a strong plus.
  • Core Competencies:
    • Exceptional attention to detail with an analytical approach to auditing compliance issues and financial transactions.
    • Strong communication and relationship-building skills to manage alignment between Legal, Finance, and Sales.
    • Ability to self-start and adapt within a fast-evolving digitalization and system migration environment.

The U.S. base salary range for this full-time position is $78,000 to $88,000. Within the range, individual pay is determined based on several factors, including, but not limited to, work experience and job knowledge, complexity of the role, job location, etc.
