The Rebate Coordinator supports the Capital Electric Pricing Department to ensure timely and accurate implementation of Capital Electric's pricing strategy, particularly through proper maintenance and execution of the customer sales rebate process, with related branch and system support.

Responsibilities:

  • Runs and submits monthly rebate reports to vendors via EDI and Excel.
  • Tracks rebates and follows up on any that are pending prior to month end.
  • Works with vendors each month to receive and process rebate credits.
  • Works with accounting to properly enter and apply the credits.
  • Forwards details on any rebate credits that have been pending for 90 days.
  • Reconciles credits and researches rebate discrepancies.
  • Maintains electronic archive system of rebate documentation.
  • Assists the contract coordinator with loading and maintaining customer contracts in the Eclipse system.
  • Runs and distributes monthly contract expiration reports.
  • Serves as a first-level resource for answering rebate and contract questions and troubleshooting problems in the Eclipse system.
  • Monitors the pricing department e-mail group and responds to rebate-related requests.
  • Answers and manages incoming phone calls, including checking and responding to voice messages.
  • Monitors and responds to electronic messaging (Outlook & operating system) in an appropriate and timely manner.
  • Uses appropriate forms of written communication both internally & externally.
  • Maintains a working knowledge of required software applications and utilizes software for appropriate means of communication.
  • Quickly finds common ground and solves problems for the good of all.
  • Easily gains trust and support of others.
  • Encourages collaboration and is viewed as a team player.
  • Cross-trains with other pricing department associates
  • Maintains a positive working relationship with branch and corporate staff

Qualifications:

  • Minimum of two (2) years of experience in general office work.
  • Proven proficiency in general personal computer applications, including Microsoft Office software, with advanced skills in Excel and Word.
  • Ability to navigate and utilize the Internet in performing job functions.
  • Proven proficiency in data entry.
  • Commitment to and demonstration of high ethical standards governing professional behavior and interactions.
  • Strong customer service orientation with internal and external customers and vendors.
  • Demonstrated ability to communicate clearly in written and verbal formats.
  • Ability to develop strong interpersonal working relationships and work both independently and in a team environment.
  • Demonstrated time management and organizational skills, including an ability to plan and manage multiple priorities simultaneously.
  • Proven attentiveness to detail coupled with problem analysis and resolution skills.
  • Ability to maintain flexible working hours to meet department needs.
  • Ability to travel to the corporate office as needed.

Salary: $19 - $23 / hour
