Job description

Reporting to the Marketing and Sales Manager, the Group Sales Coordinator is responsible for managing and servicing inbound group sales products such as birthday parties, field trips, and venue rentals using the Altru system. The Group Sales Coordinator will also assist the Sales Manager in the development and execution of outbound sales strategies to increase leads and achieve monthly revenue goals. Included in this role is general customer service responsiveness to phone and email inquiries.


ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Manage group sales phone call/email inquiries. Monitor the voice mail messages and group sales emails received and respond/follow up within two business days.

2. Manage incoming group sales, including but not limited to:

a. Promptly respond and follow-up on birthday party sales, field trip inquiries, and venue rentals

b. Schedule reservations and events through management software (Altru)

c. Mail brochures and contracts to clients, complete contracts, follow-up on payments, guest lists and event details

3. Assist the Sales Manager in the development and execution of outbound sales strategies to increase leads and achieve monthly revenue goals

5. Attend monthly, quarterly and annual museum trainings and meeting, as needed

6. Perform other duties and special projects, as assigned


QUALIFICATIONS AND EDUCATION REQUIREMENTS

1. HS Diploma/GED or equivalent work experience in customer service, hospitality, or a related field

2. Experience in a non-profit or museum setting is preferred


KNOWLEDGE, SKILLS AND ABILITIES

1. Strong attention to detail skills with the ability to quickly and accurately enter data

2. Exceptional customer service and conflict resolution abilities

3. Proficiency in Microsoft Office Suite and familiarity with POS or database management systems (Altru/Blackbaud preferred)

4. Strong verbal and written communication skills

5. Ability to maintain confidentiality and exercise discretion in handling customer data


ADDITIONAL REQUIREMENTS

1. Must have flexibility in work schedule, including weekends and occasional evenings

2. Valid driver’s license, own vehicle and good driving record
