Job Description
We invite you to join the world of luxury hospitality at Fairmont Grand Del Mar, as our new Spa Group Sales Coordinator.
Responsibilities
As a Spa Group Sales Coordinator, you will play a vital role in ensuring the flawless execution of Spa reservations, group reservations, and Spa events. You'll work closely with both our Spa teams and Sales and Events teams to transform client expectations into seamless guest experiences, all while developing your career within Fairmont's legendary culture of excellence. The Spa Group Sales Coordinator's primary responsibility is to fulfill spa reservations for all business segments, both group, resort, local and member guests and to assist with guest arrival and departure in a timely and efficient manner while remaining professional and courteous at all times.
Under the direction of the Spa Manager, the Group Sales Coordinator will also play an important role within the Spa boutique, driving retail sales and sales to service performance while maintain Five-Star performance and exceeding every guest's expectation within a positive working environment.
  • Keep management informed with all guest, staff and operational updates.
  • Stay current on all department information, become well-versed and trained in its application.
  • Support Sales and Events team by coordinating all Spa related requests and group reservations
  • Manage group spa reservation lists, contracts, rates, billing, and inventory
  • Monitor and respond to group inquiries via email, phone, and voicemail in a timely and professional manner
  • Run daily and weekly reports, audit group blocks and pickup, and proactively flag any discrepancies or inventory concerns
  • Collaborate with Sales, Conference Services, Front Office, Accounting, and Reservations teams to ensure group needs are met or exceeded
  • Efficiently process all telephone inquiries and spa/fitness reservation/activity scheduling from future, and current guests
  • Offer additional Spa bookings as well as itinerary assistance for all guest segments.
  • Provide general departmental assistance, special projects, group Spa reservations, etc.
  • Provide thorough and complete information on all the services offered in the brochure.
  • Attend all departmental meetings and trainings.
  • Maintain professional and caring manner with all guests
  • Respond quickly to guest requests or complaints and see that appropriate action is taken
  • Follow up to ensure guest satisfaction
  • Work efficiently with booking/management software while scheduling, modifying or canceling all Spa and Fitness reservations and services.
  • While supporting the Spa department, you will respond to general telephone/ email/ mail inquiries.
  • Sell products in retail boutique, assist with merchandising, ticketing and produce replenishment.
  • Communicate all guest needs and concerns to the appropriate Spa Manager or the Manager on Duty.
  • Participate in ongoing training for support staff in the areas of safety, guest service and team building.
  • Assure a clean, crisp and sanitary spa.
  • Work cooperatively and professionally with all departments.
  • Attend regular meetings as directed by Spa Leadership.
  • Comply with all Fairmont Grand Del Mar safety and health policies and procedures.
  • Maintain a thorough knowledge of all treatments, homecare products as well as all retail products.
  • Perform other duties as assigned by Manager

Qualifications
  • Able to provide clear and professional telephone communication.
  • Excellent verbal and written communication skills.
  • Capable of managing multiple projects and responsibilities with ease.
  • Well organized and detail oriented.
  • Able to work independently and as part of a team in a fast-paced environment.
  • Prior hospitality sales experience preferred.
  • Possess strong customer service and communication skills, anticipate the needs of our guests and have an enthusiastic desire to attain the highest levels of quality in all areas of the hotel.
  • Ability to deal with a high volume of incoming calls, prepare customer correspondence such as contracts and proposals, open and distribute mail, make photocopies, prepare reports and send faxes.
  • Maintain availability and dedication to The Spa at Fairmont Grand Del Mar, being available to work weekends, holidays, and evenings.

Wage Information
The hourly rate for this position is $20.58
