We are currently looking to hire an experienced Proposal Writing Specialist for our Orange Office to join our current team of managers, engineers, and designers who represent the top talent in the industry.
Reporting to the Principal, this position performs general proposal coordination and preparation of work under the direct supervision of Project Managers and Principals for marketing and business pursuits for the clients that the Company serves.
Essential Duties and Responsibilities:
The position is an integral part of a team that supports marketing and business development activities for the Company, including, but not limited to:
  • Facilitates, coordinates, and assists with the preparation of marketing-related materials, proposals, and presentations.
  • Review solicitations (RFP, RFQ, RFI), advise Project Managers on submittal requirements, and outline responsibilities to respond.
  • Prepare and disseminate directives and data calls to subcontractors and other team members, and follow through to obtain timely responses.
  • Writes non-technical text and assists Project Managers in the development of technical text.
  • Independently prepare and organize company qualification materials such as photography, resumes, representative project experience documents, contracts, and skill-set tracking for pursuits and other marketing purposes.
  • Ensures that documents are secure and of high quality, consistent with company standards.
  • Edits and proofreads marketing communications and project documents as appropriate.
  • Assists in the development of documents and reports as appropriate to support business pursuits and project execution.
  • Responsible for completing and packaging quality proposals and marketing communications, materials, and support documentation by the due date.
  • Responsible for maintaining marketing, business development documents, mailing lists, and tracking of proposals.
  • Works with the Marketing Coordinator and Business Development Administrator to prepare and distribute social media posts and articles related to the companys business development strategy.
  • Attends selected A/E/C industry events and pre-proposal meetings to represent the company.
  • Performs other duties as needed, including general office administrative functions.
Education & Experiences:
  • Bachelors Degree with a focus on Marketing/Communications
  • Minimum 3-5 years of experience preparing proposals and providing marketing support in the A/E/C industry. Experience with a civil engineering firm is preferred but not required.
Knowledge, Skills & Abilities:
  • Proficiency in reviewing, organizing, interpreting, and editing written documentation to improve clarity.
  • Proficiency in Microsoft Office, InDesign, and other Desktop Publishing Applications.
  • Familiarity in reviewing solicitations (RFP, RFQ, RFI) from Federal and other public agencies to develop the proposal schedule and tasks to be accomplished. Experience in responding to DoD solicitations is preferred but not required.
  • Strong time management and organizational skills with follow-through on project commitments.
  • Skilled in technical and persuasive writing, editing, and proofreading skills.
  • Strong attention to detail and accuracy.
  • Ability to handle multiple, simultaneous assignments and meet tight deadlines while providing a consistently high level of quality and accuracy.
  • Ability to work independently and as part of a team.
