What are the key skills and qualifications needed to thrive as a Proposal Writer, and why are they important?

To thrive as a Proposal Writer, you need excellent written communication, research, and project management skills, often supported by a degree in English, communications, or a related field. Familiarity with proposal management software (like RFPIO or Qvidian), Microsoft Office Suite, and sometimes knowledge of compliance standards or certifications (such as APMP) is highly valued. Strong attention to detail, collaboration, and the ability to work under tight deadlines help set outstanding proposal writers apart. These skills ensure that proposals are compelling, compliant, and delivered on time, increasing the chances of winning business opportunities.

What are some common challenges faced by proposal writers, and how can they be effectively managed?

Proposal writers often face tight deadlines, managing input from multiple stakeholders, and ensuring proposals align with client requirements. Balancing thorough research with clear, persuasive writing can also be challenging, especially when dealing with complex or technical subjects. Effective organization, strong communication skills, and the use of proposal management tools can help streamline the process and improve collaboration, making it easier to produce high-quality, competitive proposals.

What is proposal writing?

Proposal writing is the process of creating documents that outline plans, solutions, or offerings for a specific project, grant, or business opportunity. These documents are typically submitted to organizations, clients, or funding bodies to persuade them to approve, fund, or support a particular idea or service. Effective proposal writing involves understanding the audience's needs, clearly presenting objectives and methods, and demonstrating value or potential impact. Proposal writers often follow specific formats or guidelines set by the recipient, ensuring all requirements are met and the proposal stands out among competitors.

How much do proposal writers charge?

Proposal writers typically charge between $50 and $150 per hour or $500 to $5,000 per project, depending on complexity, experience, and industry. Freelance proposal writers may also offer fixed rates or retainer agreements for ongoing work.

At ExplorUS, we provide exceptional hospitality services in some of the most breathtaking locations across the country—including national and state parks, marinas, forests, and museums. From Hawaii to the East Coast, our dedicated teams create unforgettable experiences for visitors, with the support of our corporate office in Overland Park, Kansas.
As a growing organization, we pride ourselves on developing innovative proposals that help us secure new contracts and expand our footprint. We are seeking a talented Proposal Writer to join our team at our corporate office in Overland Park, KS. This pivotal role will contribute to our growth by leading the creation of compelling, high-quality proposals that drive our success.
Summary of Position: Supports the research, writing, and development of bids to expand the Company’s portfolio of concession contracts across national, state, and local parks, as well as campground and marina operations. Candidates with experience working for local, state or federal land management agencies such as state Departments of Natural Resource, National Park Service, US Forest Service or Zoos, or in related industries such as Zoos, Museums or Aquariums are highly encouraged to apply!
Responsibilities:
  • Review RFPs, technical documents, and background materials to understand bid requirements and scope. Assist in developing clarification questions and identifying needed information

  • Research, gather, and analyze data to support assigned writing tasks
  • Conduct background and industry research, including competitor insights and market trends
  • Meet with senior staff and subject matter experts to collect information and support the creation of new content and revision of existing materials, under the direction of the supervisor
  • Assist in drafting clear, concise, and persuasive proposal content based on collected information and guidance from leadership
  • Work within strict timelines to meet internal milestones and agency deadlines
  • Help ensure that proposal documents are complete, compliant, and professionally formatted according to RFP instructions
  • Adhere to all solicitation requirements, including page limits, formatting standards, and submission protocols
  • Perform other duties as assigned
Requirements:
  • Strong written and verbal communication skills with excellent attention to detail
  • Experience using AI tools to assist in the creative writing process
  • Highly organized with strong time management skills, able to prioritize tasks effectively
  • Strong research capabilities with the ability to identify strategic content opportunities
  • Ability to maintain confidentiality of all proposal materials and Company proprietary information
  • Self-motivated, adaptable, and able to work in a fast-paced, deadline-driven environment with minimal direction
  • Strong problem-solving abilities and willingness to propose solutions when challenges arise
  • Ability to interpret and incorporate financial information into narrative content
  • Ability to effectively collaborate with team members and subject matter experts across departments
  • Detail-oriented with a strategic mindset and creative approach to pursuing business opportunities
  • Proficiency in Microsoft Office, especially Microsoft Word
Knowledge and Experience:
Education: Bachelor’s degree or higher in English, Communications, Journalism, Business, Public Affairs, Public Administration or related field from accredited institution.
Experience: Prior experience in proposal writing, government contracting, or related writing-focused roles preferred.
All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability or protected veteran status.
