Job description

Golden State Dermatology is a physician-led and owned dermatology group rapidly expanding across California, with over 37 locations. We are a leading medical, surgical, and cosmetic dermatology group specializing in skin, hair, and nail conditions, Mohs micrographic surgery for the treatment of skin cancer, surgical and non-surgical cosmetic skincare, anti-aging, body contouring, and plastic surgery.

As a Practice Supervisor at Golden State Dermatology, you will be responsible for overseeing the daily operations of both the front and back office, ensuring the highest level of efficiency, patient satisfaction, and staff performance. You will serve as the primary point of contact for staff, providers, and patients, ensuring seamless workflow and compliance with company policies and procedures.

Key Responsibilities:

Front Office & Administrative Oversight:
  • Supervise and support front office staff in patient check-in/check-out, insurance verification, and scheduling to ensure efficient patient flow.
  • Monitor patient scheduling, proactively filling gaps to maximize productivity and minimize no-show rates through effective confirmation strategies.
  • Ensure front office staff adhere to financial policies, including copay collection and end-of-day reconciliation.
  • Oversee insurance verification and prior authorization processes, ensuring timely approvals and minimizing billing issues.
  • Act as the primary liaison between the front office team, back office team, providers, and corporate leadership to ensure clear communication and operational consistency.
  • Conduct performance evaluations, provide coaching, and facilitate training for front office staff to enhance efficiency and service quality.
Back Office & Clinical Support Management:
  • Supervise back office operations, ensuring proper patient care protocols, clinical workflow efficiency, and compliance with medical regulations.
  • Ensure medical assistants and clinical support staff are properly trained, following protocols for rooming patients, assisting providers, and maintaining medical records.
  • Address patient concerns or escalations related to clinical or administrative issues, working closely with providers and corporate leadership to resolve any conflicts.
  • Monitor supply inventory and order necessary medical and office supplies to ensure the clinic runs smoothly.
  • Ensure compliance with OSHA, HIPAA, and other regulatory requirements, conducting audits as needed.
Financial & Operational Leadership:
  • Oversee daily cash reconciliation and deposit processes, ensuring financial accuracy and security.
  • Monitor key performance indicators (KPIs) related to patient flow, financial targets, and operational efficiency, implementing strategies for improvement.
  • Assist in budget planning and cost control measures to optimize clinic performance.
  • Identify opportunities for process improvements and implement best practices to enhance overall clinic operations.
  • Work closely with the Regional Director and corporate leadership on operational goals, staffing needs, and compliance matters.
Qualifications & Skills:
  • 2+ years of experience in medical office management or healthcare leadership.
  • Strong understanding of front and back office operations, medical billing, and insurance processes.
  • Excellent leadership, communication, and problem-solving skills.
  • Ability to multitask, prioritize, and make decisions in a fast-paced environment.
  • Proficiency in electronic medical records (EMR) and scheduling systems.
