Heartland Roadshow, established in 2009, is a premier buyer of estate jewelry, precious metals, gold and silver coins, and collectibles. If you've ever seen "Antiques Roadshow," what we do is similar. We host boutique buying events at hotels and venues throughout the country, where individuals bring in estate items to sell, including gold, silver, coins, watches, and collectibles.

Position Summary

The Operations Support Coordinator plays a critical role in supporting operational execution, project coordination, process improvement, and administrative functions across the organization. This position is highly process-driven and detail-oriented, requiring exceptional organizational skills, strong follow-through, and the ability to manage multiple priorities in a fast-paced environment.

The ideal candidate is comfortable working cross-functionally, maintaining accurate data, supporting operational initiatives, documenting processes, and serving as a key resource for internal teams. This role will work closely with the licensing and operations teams to improve workflows, support projects, and ensure operational excellence.

Responsibilities
  • Maintain and update Salesforce records for shows, events, locations, and pricing information on a weekly basis.

  • Audit licensing documentation to identify gaps, inconsistencies, compliance concerns, and potential execution risks.

  • Serve as a primary point of contact for buyer support, troubleshooting issues, answering operational questions, and resolving day-to-day needs.

  • Provide operational support for special projects and priority initiatives across multiple departments.

  • Create, manage, and optimize workflows within Monday.com and other project management platforms.

  • Assist in developing, documenting, and maintaining Standard Operating Procedures (SOPs) for the licensing team.

  • Support process improvement initiatives and help drive operational efficiency.

  • Track project progress and ensure timely completion of assigned tasks and deliverables.

  • Coordinate with internal stakeholders to support operational execution and communication.

  • Perform additional administrative, project coordination, and operational support duties as needed.

Skills & Qualifications
  • Highly organized with exceptional attention to detail.

  • Strong process-oriented mindset and commitment to accuracy.

  • Salesforce experience required.

  • Experience using project management software such as Monday.com, Asana, or similar platforms required.

  • Strong project coordination and administrative support experience.

  • Excellent time management and follow-through skills.

  • Ability to manage multiple projects and competing priorities simultaneously.

  • Strong written and verbal communication skills.

  • Ability to identify process improvements and implement effective solutions.

  • Comfortable working independently while collaborating across departments.

  • Proficient in Microsoft Office and Google Workspace.

Preferred Experience
  • Operations support, project coordination, or administrative operations experience.

  • Experience supporting compliance, licensing, or documentation processes.

  • Experience creating workflows, process documentation, and SOPs.

  • Experience working in fast-paced, deadline-driven environments.
