OPERATIONS ADMINISTRATOR
SUMMARY/JOB OBJECTIVE
The Operations Administrator is responsible for supporting the operations staff by preparing & managing Company subcontracts, certificates of insurance, bonds & bond waivers, reporting subcontract payments & posting accounts receivable. Other duties & responsibilities of the Operations Administrator are listed below.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Work directly with subcontractors to ensure subcontracts are issued and executed in a timely manner.
  • Requesting & managing subcontract W9's & COI's to ensure there is no lapse in coverage.
  • Submitting subcontractor bond waivers for signature as required.
  • Requesting jobs specific performance & payment bonds as needed.
  • Completing & submitting TDOT subcontracts & sub forms, including special provisions, as necessary.
  • Monthly electronic submittal of job specific prompt payment information as required.
  • Monthly electronic submittal of job specific equal business opportunity reporting as required.
  • Daily posting & distribution of Accounts Receivable payments into Vista.
  • Lien waiver submission & distribution as required.
  • Entering project billings, project information & customers into Vista as needed.
  • Notarize documents as required (Civil to coordinate obtaining State of TN Notary).
  • Submission & recording of client post job surveys.
  • Additional tasks as required by Projects Managers, Project Executives & Operations Staff
  • Maintain a strong working relationship with clients & subcontractors.
  • Must uphold company values and have a positive and respectful attitude with employees, subcontractors & clients.

QUALIFICATIONS/SKILLS REQUIRED
  • Minimum 3 Years' experience in Contract or Construction Administration.
  • Strong organizational & communication skills.
  • Ability to work in a fast paced team oriented environment.
  • Strong attention to detail & the ability to multitask & manage several activities concurrently.
  • Proficient in Microsoft Outlook, Word & Excel.
  • Knowledge of DocuSign, AASHTOWare & Vista is preferred.
  • Basic knowledge of the heavy construction industry is preferred.
