Assistant Dental Office Manager Job Summary

Within the SDP affiliated network of dental practices, the Assistant Office Manager (AOM) supports the Office Manager in the day-to-day operations of a single practice location. The AOM partners with the Office Manager, dentists, and team members to ensure efficient office operations, deliver an exceptional patient experience, and support the overall success of the practice.

The Assistant Office Manager assists with front office operations, patient scheduling, revenue cycle activities, team coordination, and compliance while maintaining a positive, patient-centered culture. This role serves as a resource for team members and helps ensure the office runs smoothly by providing operational support and assuming leadership responsibilities in the Office Manager's absence.

The Assistant Office Manager reports directly to the Office Manager and is expected to work a full-time schedule, be present on-site during the practice's core business hours, and provide flexibility to meet the operational needs of the practice.

Responsibilities

Team & Operations Support

  • Partner with the Office Manager to support the daily operations of the practice and maintain efficient workflows.
  • Work collaboratively with dentists, hygienists, and team members to support both clinical and administrative functions.
  • Assist with onboarding and training new team members to ensure a successful transition into the practice.
  • Reinforce company policies, procedures, and performance expectations through daily coaching and guidance.
  • Assist with employee scheduling, timekeeping, and payroll preparation to ensure accuracy and timely submission.
  • Help coordinate daily huddles and team meetings to communicate priorities, goals, and operational updates.
  • Support recruiting efforts by participating in interviews and coordinating onboarding activities.
  • Serve as a resource for team members by helping resolve day-to-day operational questions and concerns.
  • Assume leadership responsibilities and assist in overseeing daily operations when the Office Manager is unavailable.
  • Perform front office responsibilities as needed, including patient check-in/check-out, answering phones, scheduling appointments, insurance verification, treatment plan presentation, and collections.

Financial & Administrative Support

  • Support revenue cycle activities, including insurance claims, patient billing, collections, and account follow-up.
  • Ensure insurance claims are submitted promptly and assist with reducing outstanding accounts receivable.
  • Monitor patient balances and support collection efforts while providing excellent customer service.
  • Assist with invoice review and processing in accordance with company Accounts Payable procedures.
  • Help monitor office supply inventory and coordinate ordering as needed.
  • Assist the Office Manager with reviewing practice reports and identifying opportunities to improve efficiency and performance.

Patient Experience & Scheduling

  • Foster a welcoming, patient-centered environment that promotes exceptional service and quality care.
  • Support patient scheduling to maximize provider productivity and optimize the daily schedule.
  • Monitor unscheduled treatment and assist with patient follow-up to improve treatment acceptance.
  • Professionally resolve patient concerns and escalate issues to the Office Manager when appropriate.
  • Build positive relationships with patients to encourage retention and referrals.

Compliance & Safety

  • Adhere to all federal, state, and local employment laws and healthcare regulations, including OSHA, HIPAA, and CDC guidelines.
  • Assist with maintaining current employee licenses, certifications, and required documentation.
  • Support compliance with safety protocols, infection control standards, and proper use of personal protective equipment (PPE).
  • Monitor completion of required compliance training and communicate outstanding requirements to the Office Manager.

Leadership & Communication

  • Demonstrate exceptional customer service and professionalism in all interactions with patients, team members, doctors, and Support Center departments.
  • Communicate effectively with the Office Manager regarding operational issues, staffing needs, patient concerns, and opportunities for improvement.
  • Support practice marketing initiatives and community outreach efforts as directed.
  • Model company values, professionalism, accountability, and a positive attitude.
  • Perform other duties as assigned by the Office Manager and Dentist(s).
Qualifications
  • High school diploma or equivalent required; associate's degree preferred.
  • Minimum of 2 years of dental office experience required.
  • Previous experience in a dental front office lead, assistant manager, or supervisory role preferred.
  • Experience with dental practice management software.
  • Knowledge of dental insurance, treatment planning, scheduling, billing, and collections.
  • Demonstrated ability to effectively lead, coach, and motivate team members.
  • Strong written and verbal communication skills.ย ย
