Job Description

The Beyond Collection is seeking a highly organized and trustworthy Finance & Administrative Manager to own the company's billing, accounts receivable, and expense compliance processes, while also serving as office manager and a general assistant to the President. 

Reporting directly to the President, this role is the backbone of TBC's financial operations and day-to-day office administration. You will manage the full invoicing and collections cycle in Salesforce and QuickBooks, oversee company card expense compliance in RAMP, and keep the Durham, NC office running smoothly. 


This role requires in-office attendance to manage mail, checks, and deposits.


Accountabilities
  • Run billing reports in Salesforce and enter corresponding invoices into QuickBooks; send invoices to clients on schedule
  • Manage all open accounts receivable, tracking aging balances and sending payment reminders as needed
  • Audit weekly sales transactions to ensure posted revenue matches invoices & billing agreements
  • Coordinate with the Sales and Community teams on outstanding client balances and collections
  • Process AR change requests, including adjusting payment terms, applying late fees, and updating billing contacts
  • Maintain regular in-office presence to check the company mailbox and receive incoming checks
  • Deposit checks at the bank and record payments as received in both QuickBooks and Salesforce
  • Own categorization of all RAMP card expenses across the company, ensuring compliance with existing expense policy
  • Review and resolve miscategorized or exception transactions in RAMP
  • Serve as a general assistant to the President, supporting additional duties and special projects as needed
  • Act as office manager, handling general administrative duties including coordinating office vendor needs and keeping the office running smoothly
Requirements 
  • Proven experience in billing, accounts receivable, bookkeeping, or office administration
  • Proficiency with QuickBooks required 
  • Experience with Salesforce or a similar CRM strongly preferred 
  • Experience with expense management platforms (e.g., RAMP) a plus 
  • High attention to detail and strong organizational skills 
  • Trustworthy and discreet when handling sensitive financial information 
  • Strong communication and interpersonal skills 
  • Ability to manage multiple workflows and deadlines independently 
  • Located in Durham, NC, and able to work in office 
  • Bachelor's degree or equivalent relevant experience preferred
Compensation & Benefits
  • Bonus Eligible-up to 20% of base salary
  • Health, dental, vision, and life insurance (individual HSA health plan provided at no cost to employee)
  • 401k plan with 4% match, after first year
  • 2 weeks PTO in first year
  • Typically closed the week between Christmas and New Years, contingent on status of projects
