A Snapshot of Your Day (Position Overview)
As the Office Manager for the Green Road location, you will play a key role in ensuring the office operates efficiently, professionally, and in alignment with Siemens Energy administrative standards. Your day may include coordinating daily office operations, supporting facility and vendor management activities, organizing meetings and events, processing office-related financial transactions, and serving as the primary point of contact for administrative matters at the site. You will work closely with employees, vendors, building management, and leadership teams to maintain a productive, organized, and well-supported office environment. This role offers the opportunity to directly impact operational effectiveness and workplace experience within the Grid Technologies North America organization.
How You'll Make an Impact (Responsibilities)
  • Manage and coordinate daily office operations including reception activities, visitor management, mail distribution, meeting coordination, event planning, travel arrangements, and implementation of corporate administrative programs and policies
  • Oversee office supply management, vendor coordination, purchasing activities, and inventory tracking to ensure the office remains fully operational and efficiently supported
  • Serve as the primary liaison for facility management activities including maintenance coordination, office repairs, safety compliance, office space planning, and workspace reconfigurations
  • Ensure the office environment is maintained in a clean, professional, secure, and organized condition while proactively addressing operational and administrative issues as they arise
  • Support office budgeting activities including tracking expenditures, processing invoices, managing accounts payable tasks, maintaining financial records, and ensuring alignment with approved financial plans
  • Prepare administrative and financial reports while maintaining accurate documentation related to purchasing, invoicing, office operations, and other site administrative activities

What You Bring (Requirements)
  • Bachelor's degree in Business Administration, Management, or a related field preferred
  • 2+ years of experience in office management, administrative support, facilities coordination, or a related operational support role within a corporate environment
  • Strong knowledge of office administration, vendor coordination, office procedures, record keeping, event planning, budgeting, invoicing, purchasing, and accounts payable processes
  • Experience independently managing day-to-day office operations, coordinating with vendors and facility management teams, and supporting administrative financial activities with strong attention to detail and organization
  • Strong troubleshooting, resourcefulness, adaptability, diplomacy, communication, and proactive problem-solving skills with the ability to support a fast-paced and dynamic office environment
  • Applicants must be legally authorized for employment in the United States without need for current or future employer-sponsored work authorization. Siemens Energy employees with current visa sponsorship may be eligible for internal transfers.
