Construction Office Administrator

Location: Raleigh, NC Area
Employment Type: Part-Time

About Us

We are a growing commercial general contractor specializing in commercial, industrial, and institutional construction projects throughout North Carolina. We are seeking a highly organized and detail-oriente Construction Office Administrator to support our project management and accounting team.

Position Summary

The Office Administrator will play a key role in the day-to-day operations of our construction office by assisting with accounting, project administration, subcontractor coordination, and job cost tracking. The ideal candidate is dependable, organized, and experienced in the commercial construction industry.

Primary Responsibilities

· Process and manage accounts payable.

· Match invoices with purchase orders and subcontractor billing.

· Assist with owner pay applications and subcontractor payments.

· Prepare, track, and process change orders.

· Maintain subcontractor agreements, insurance certificates, W-9s, and compliance documents.

· Coordinate with project managers, superintendents, subcontractors, suppliers, and clients.

· Track project budgets and job costs.

· Assist with purchase orders and material procurement.

· Maintain project files, contracts, RFIs, submittals, and closeout documentation.

· Schedule meetings and assist with project coordination.

· Support payroll and general office administration as needed.

Qualifications

· Minimum 3 years of commercial construction office experience preferred.

· Knowledge of construction accounting and job costing.

· Experience with accounts payable and invoice processing.

· Strong understanding of change orders and commercial construction documentation.

· Proficient in Microsoft Excel, Word, and Outlook.

· Experience with construction management or accounting software (QuickBooks, Sage, Procore, Buildertrend, or similar) is a plus.

· Excellent organizational, communication, and time management skills.

· Ability to manage multiple projects in a fast-paced environment.
