YOUR KEY RESPONSIBILITIES

Reporting to the Senior Director, Business Relationship and Risk Management, you will be responsible for ensuring the smooth operation of GIRO's offices and administrative services. Working closely with your team and various internal and external partners, you will help create an efficient, welcoming, safe, and employee-centered work environment.

You will play a central role in managing office operations, physical resources, vendors, administrative services, and the overall employee experience, while contributing to the continuous improvement of our practices and processes.

Please note that this role requires 100% on-site presence at the office.

Office Operations and Employee Experience

Ensure the smooth day-to-day operation of offices and administrative services.

Maintain and enhance the quality, organization, and evolution of workspaces.

Coordinate activities involving internal partners, vendors, and other stakeholders required to support office operations.

Identify and implement improvements to optimize the employee experience.

Resource and Vendor Management

Oversee procurement, inventory, and the material resources required by teams.

Manage vendor relationships and ensure the quality of services delivered.

Monitor expenses, budgets, and commitments under your responsibility.

Contribute to cost optimization and service level improvements.

Administrative Coordination and Organizational Support

Coordinate administrative services provided across the organization.

Manage and follow up on administrative and logistical requests.

Support teams in organizing business travel, internal activities, and corporate events.

Contribute to the simplification, standardization, and improvement of administrative processes.

Security and Business Continuity

Manage physical access controls and ensure compliance with applicable health, safety, and regulatory requirements.

Coordinate responses to incidents affecting offices and workspaces.

Support business continuity activities as required.

Leadership and Continuous Improvement

Lead, coach, and develop members of the Office Administration team.

Establish priorities and ensure an effective distribution of work.

Implement practices that promote efficiency, service quality, and continuous improvement.

Contribute to the recruitment, onboarding, and development of team members.

THE SKILLS THAT WILL MAKE YOU A KEY MEMBER OF OUR TEAM

Bachelor's degree in a relevant field.

Minimum of 10 years of experience in office management, administrative services, or a similar role.

Experience leading office transformation initiatives (an asset).

Experience managing teams and coordinating internal services.

Experience managing vendors, budgets, and administrative operations.

Excellent ability to manage multiple priorities simultaneously.

Strong customer service orientation and commitment to service excellence.

Inspiring leadership, strong organizational skills, and the ability to work autonomously.

Ability to manage multiple projects of varying complexity, ranging from day-to-day operational initiatives to large-scale transformation projects.

Excellent interpersonal and communication skills, with the ability to build trusted relationships at all levels of the organization.

Professional fluency in both French and English (the position requires regular interactions with English-speaking vendors).
