Role Summary
We are seeking a detail-oriented and dependable Mailroom Operations Associate to support daily mailroom and document processing operations. This role is responsible for sorting, opening, organizing, preparing, and processing incoming and outgoing mail and documents with accuracy and efficiency.


The ideal candidate is organized, hands-on, and comfortable working in a fast-paced production environment that
requires accuracy, consistency, and timely completion of tasks.



Key Responsibilities


Mail Sorting and Document Preparation

  • Open, sort, organize, and prepare incoming mail and documents for processing
  • Ensure accurate identification, categorization, and routing of mail items
  • Prepare documents for scanning, imaging, and document management processes
  • Support outgoing mail preparation, including packaging, labeling, and postage
  • Research mail and document details as needed to ensure proper handling


Scanning and Equipment Use

  • Operate scanners, copiers, mail openers, labeling equipment, and other mailroom tools
  • Set up equipment, load materials, clear jams, and resolve basic equipment issues
  • Ensure documents are prepared and processed according to workflow and quality standards
  • Maintain proper handling of sensitive or time-sensitive documents


Operational Support

  • Perform data entry and maintain accurate records
  • Coordinate with internal teams to support timely and accurate mail and document flow
  • Help maintain an organized, safe, and efficient work area
  • Follow company procedures for mail handling, document processing, and quality control
  • Perform other duties as assigned


Qualifications

  • High school diploma or GED required
  • At least 1 year of experience in mailroom, clerical, office support, document processing, or related work
  • Experience with mail sorting, document prep, scanning, imaging, or shipping/receiving is preferred
  • Strong attention to detail and accuracy
  • Good organizational and time management skills
  • Basic data entry skills
  • Good verbal and written communication skills
  • Ability to work independently and as part of a team
  • Reliable attendance and punctuality
  • Ability to stand for extended periods
  • Ability to lift and carry up to 50 lbs
