Job description

A Mailing Data Specialist in the printing industry must have experience in data list processing, knowledge of mailing software, and knowledge of USPS rules and regulations. The Mailing Data Specialist will manipulate data files, perform file hygiene, and create output files and/or mailing reports as needed. This position works directly with other team members to ensure quality-control standards are being followed and customer objectives are met.

Essential Responsibilities:

·       Data Processing & Cleansing: Import, format, and scrub customer address lists. Perform merge/purge operations, de-duplication, and data mapping.

·       Postal Compliance: Manage CASS (Coding Accuracy Support System) and NCOA (National Change of Address) updates. Ensure all lists meet United States Postal Service (USPS) automation standards.

·       Presorting: Utilize specialized software to run complex presorts for various mail classes (First-Class, Marketing Mail, Periodicals) to secure maximum postage discounts.

·       File Preparation for VDP: Format and map data so it integrates seamlessly with Variable Data Printing programs (e.g., BCC Mail Manager, Accuzip or Satori Bulk Mailer) and inkjet addressing systems.

·       Documentation & Reporting: Generate USPS postage statements, qualification reports, and electronic mailing files required for submission, including MIDs/CRIDs

·       Quality Assurance: Generate proofs, seed records, and test samples for internal stakeholders and clients prior to final production;

·       Cross-Functional Collaboration: Coordinate with Customer Service, Pre-press, Digital and Production teams to ensure data integrity and meet project deadlines.

Key Qualifications & Skills

·       Software Proficiency: Strong expertise in postal and data-management software suites such as BCC Mail Manager, Accuzip or Satori Bulk Mailer

·       Variable Data Printing (VDP): Familiarity with software like FusionPro, Adobe InDesign, and Acrobat Pro. Knowledge of JavaScript rules and logic is highly desired.

·       Data Manipulation: Advanced Microsoft Excel skills (VLOOKUPs, pivot tables, text manipulation) and familiarity with database applications like Microsoft Access or SQL.

·       Postal Regulations: Solid understanding of USPS bulk mail requirements and documentation.

·       Attention to Detail: A highly analytical mindset with a "measure twice, print once" approach to handle sensitive client data flawlessly.

Requirements

·       Education: High School diploma or equivalent required; Associate's or Bachelor's degree in Graphic Communications, IT, or a related field preferred.

·       Experience: Typically, 1 to 3 years of experience in direct mail processing, data analytics, or digital print production.
