Our Mail Services Specialist is responsible for supporting the daily operation of the corporate mailroom by ensuring the accurate processing, delivery, and shipment of mail and packages. This role serves as a key point of contact for internal customers, shipping carriers, and vendors while maintaining a high level of customer service, efficiency, and professionalism. The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a fast-paced environment that requires frequent movement throughout corporate facilities.

Responsibilities
You will...
Mail & Package Operations
  • Sort, process, and distribute incoming mail and packages accurately and efficiently
  • Perform scheduled mail and package deliveries throughout corporate offices
  • Process outgoing shipments using approved carrier systems and procedures
  • Ensure timely pickup and delivery of time-sensitive documents and packages
  • Maintain chain-of-custody procedures for accountable mail and deliveries

Shipping & Logistics Support
  • Assist employees with packaging, labeling, and shipping requests
  • Process domestic and international shipments through approved shipping platforms
  • Utilize shipping and tracking systems, including FedEx Ship Manager and Pitney Bowes solutions
  • Monitor shipment statuses and help resolve delivery issues when needed
  • Coordinate courier services and special delivery requests

Equipment & Facility Support
  • Operate mailroom equipment, including postage meters, scanners, and shipping systems
  • Help maintain a clean, organized, and safe work environment
  • Monitor company vehicle condition and report maintenance concerns

Customer Service
  • Provide professional, timely support to employees regarding shipping, mailing, and package inquiries
  • Respond to delivery questions and assist with locating packages
  • Serve as a positive representative of the Mail Services department

Qualifications
The Experience You Will Bring (Minimum Requirements):
  • HS Diploma or Equivalent

What Will Put You Ahead (Preferred Experience, Knowledge, Skills and Abilities):
  • Previous experience in mailroom, shipping, logistics, facilities, or administrative support environments
  • Experience using carrier shipping software
  • Familiarity with package tracking and inventory systems

Physical Requirements
  • Ability to lift and move packages up to 50 pounds
  • Frequent walking, standing, bending, and lifting throughout the workday
  • Ability to travel between buildings and departments to complete deliveries
