Harvard Resource Solutions is seeking a Human Resource Generalist for their nonprofit client in Detroit on a temporary basis.

Summary
Our Detroit-based client is seeking a highly organized and detail-oriented Human Resources & Onboarding Coordinator to support several critical HR administration and process improvement initiatives. This is a hands-on opportunity for someone who enjoys rolling up their sleeves, organizing data, improving processes, and ensuring employee records are accurate and compliant.
The ideal candidate will be comfortable working independently in a remote environment while managing multiple administrative projects involving personnel records, onboarding documentation, recruiting coordination, and HR system maintenance.
Key Responsibilities
Personnel File & Document Management
  • Extract offer letters and personnel-related attachments from designated email folders and properly organize them within employee personnel files in SharePoint.
  • Transfer and organize documents from individual OneDrive accounts into designated SharePoint folders and document libraries.
  • Audit personnel files to ensure documentation is complete, accurate, and compliant.
  • Identify missing employee records and follow up with appropriate parties to obtain required documentation.

Onboarding Administration
  • Update and enhance existing onboarding tracking tools within Excel to improve visibility and accountability throughout the onboarding process.
  • Track onboarding progress and maintain accurate records of employee status.
  • Review recently onboarded employee files to identify outstanding items, including background checks, drug screens, and required employment documentation.
  • Document onboarding status and ensure personnel records are updated accordingly.

HRIS & Payroll Support
  • Assist with entering and maintaining employee information within the UKG payroll and HRIS system.
  • Verify data accuracy and maintain employee records within the HR system.
  • Support payroll and HR administration activities as needed.

Recruiting & Talent Acquisition Support
  • Assist in organizing and tracking active job postings and candidate activity.
  • Monitor application status and maintain communication updates with internal hiring managers.
  • Develop and maintain a centralized SharePoint repository for recruiting documentation and tracking.
  • Improve visibility into recruiting activity through enhanced reporting and tracking processes.

Additional Project Support
  • Assist with documenting existing HR processes and workflows.
  • Support the development and maintenance of policies, procedures, and standard operating documentation.
  • Participate in special projects focused on process improvement, organization, and operational efficiency.

Qualifications
Required
  • 3+ years of experience in Human Resources, HR Administration, Recruiting Coordination, Onboarding, or a related administrative role.
  • Advanced Microsoft Excel skills, including creating and maintaining tracking spreadsheets.
  • Strong experience working within Microsoft 365 environments, including:
    • SharePoint
    • Teams
    • OneDrive
    • Outlook
    • Excel
  • Exceptional organizational skills and attention to detail.
  • Ability to manage confidential employee information with discretion.
  • Strong follow-up, communication, and problem-solving skills.
  • Self-motivated and capable of working independently in a remote environment.
  • Ability to identify process gaps and proactively drive projects to completion.

Preferred
  • Experience using UKG (Ultimate Kronos Group) payroll and HRIS systems.
  • Previous experience supporting onboarding, personnel file management, or HR compliance initiatives.
  • Experience creating or improving administrative processes and documentation.
  • Prior experience supporting recruiting and applicant tracking activities.
