Tata Consulting Engineers USA, LLC, (TCE), is a multi-disciplinary engineering organization offering a full range of integrated engineering design, project support, procurement and construction management services to the energy and chemicals industries.
Position Summary
Assist in the processing and/or reproduction of engineering and construction documents to ensure accuracy and timely release. Assists in maintaining a comprehensive filing system and computer database for all documents to be retained in the document control center with supervision.
Responsibilities
Works independently and consistently in accordance with established document control procedures, project requirements, and company standards.
Completes assignments from multiple sources, including project managers, design team leaders, group managers, designers, and engineers, while effectively managing priorities and meeting deadlines.
Maintains accurate and timely document and record databases by logging, tracking, distributing, and transferring all incoming and outgoing project documentation, including discipline deliverables, RFIs, meeting minutes, correspondence, submittals, and transmittals, within various document management systems.
Demonstrates initiative and sound judgment in adapting to new project requirements, client expectations, and changing priorities with minimal supervision.
Serves as a liaison between project teams, clients, stakeholders to support document management activities and ensure timely communication of project documentation.
Participates in Quality Management processes by supporting document reviews, identifying discrepancies, and ensuring compliance with established procedures and project requirements.
Tracks client- and vendor-supplied materials and documentation to ensure proper document control, revision control, retention, distribution, and return of property when required.
Assists in the processing and reproduction of engineering and construction documents to ensure accuracy, completeness, and timely release.
Monitors document workflows to ensure adherence to project-specific and client document control requirements.
Generates routine reports and status updates related to document control activities, deliverables, and project metrics.
Assists in the development, implementation, and continuous improvement of document control processes, procedures, and best practices.
Provides guidance and support to junior document control personnel and project team members regarding document management processes and systems.
Qualifications
Exemplary analytical skills.
Typing speed: 50 WPM.
Familiarity with computer operating systems including Windows and networks and ability to use basic commands to access and manage files and programs.
Highly Skilled in MS Office: Excel, Outlook, Word, PowerPoint, Teams.
Spreadsheet/Flat Database skills, skilled on a preferred spreadsheet program (MS Excel), able to do data entry, output and creation of simple spreadsheets, collation of data, formatting data.
Experience with electronic document management systems (EDMS) such as SharePoint, Wrench, Aconex, Autodesk Construction Cloud, or similar platforms.
Minimum of 2-3 years of document control experience supporting engineering, procurement, and construction projects preferred but not required.
Ability to manage competing priorities across multiple projects while maintaining accuracy and meeting deadlines.
Working knowledge of engineering and construction document lifecycle management, revision control, and transmittal processes.
Education Requirements
High school graduate or equivalent with an emphasis on basic secretarial, math and English courses and a minimum of one year of Document Control experience desired but not required. Continued education in an associate or bachelor program for secretarial, business, math or English is desired but not required. Education or experience based on knowledge, skills, and abilities may qualify with the approval of Manager of Document Control. Experience using electronic document management systems for processing of transmittals/documentation and controlling and reporting project data.
