Job Purpose

The Document Administrator will support the Legal Team by assisting with the process of document execution and management including obtaining signatures for documents, tracing insurance certificates and gathering, organizing, and managing the Company's documentation.ย  The Document Administrator will be responsible for verifying proper approvals for signature requests and obtaining signatures of authorized individuals utilizing a Contract Lifecycle Management (CLM) system. The Document Administrator will be responsible for uploading documents to the SharePoint document management system, reviewing documents to identify basic metadata for โ€œtaggingโ€ within SharePoint, assisting employees with requests for CLM assistance and help finding documents, maintaining inventory of closing documents, and performing routine document management and retention duties. The Document Administrator will work with various departments throughout the Company to ensure compliance with Companyโ€™s Document Execution and Procurement Policy.ย  The Document Administrator will report to the Manager, Document Management.

This position's hours are 9:00 AM to 6:00 PM.

Key Accountabilities

The key responsibilities will include as a minimum the following:

  • Upon request for signature of a document, timely verify proper approvals have been obtained and obtain signature from an Authorized Signatory for the Company entity entering into the agreement utilizing CLM and Adobesign Esignature software.
  • Review documents and identify basic metadata, input same into SharePoint at the time document is uploaded.
  • Coordinate receipt of documentation from legal, development and operations personnel and from outside counsel.
  • Scan and input documentation into databases, including indexing and archiving.
  • Upon receipt of documentation from departments ensure authorized signatories signed the document; follow up with commercial team to obtain countersigned documents from counterparties.
  • Keep track of versions of documents received and ensure current documents are uploaded to the SharePoint database.
  • Collect and organize hard copy original documents.
  • Coordinate, manage and maintain inventory of closing documents.
  • Liaise with external counsel to obtain closing documents.
  • Assist with closing activities and documentation, including management of signature pages.
  • Special projects as required.

Educational and Required Work Experience

  • BA degree or equivalent education.
  • Possess three to five years (or more) of document administration/management experience in a corporate or law firm environment.
  • Familiarity with various forms of complex business agreements, ability to read and identify key information from same.

  • Ability to work independently and efficiently in obtainment and return of signatures to requesting parties
  • Ability to work independently and efficiently in inputting of metadata into SharePoint database.

Technical Skills

  • Strong computer skills, including Microsoft Word, Excel, Outlook, AdobeSign, Nuance Power PDF, Contract Lifecycle Management systems and SharePoint.
  • Knowledge and experience with Internet Explorer and Chrome browsers.

The expected starting hourly rate for this role is $40.00 - $50.00 USD. This range is an estimate and base pay may be above or below the ranges based on several factors including but not limited to location, work experience, certifications, and education.
