As we continue to expand, we are seeking a highly organized and proactive Executive Virtual Assistant to support the day-to-day operations of the business.

Position Summary

The Executive Virtual Assistant will provide administrative, operational, and customer support to ensure the smooth running of the business. This role requires excellent organizational skills, strong communication abilities, and the ability to manage multiple priorities in a fast-paced remote environment.

The ideal candidate is resourceful, detail-oriented, and capable of working independently while maintaining a high level of professionalism and confidentiality.

Key Responsibilities
  • Manage and organize email inboxes, calendars, and appointments.
  • Respond to customer inquiries via email, phone, chat, and social media.
  • Assist with booking and managing travel arrangements, including flights, accommodations, cruises, tours, and vacation packages.
  • Maintain accurate client records, booking information, and internal documentation.
  • Prepare quotes, itineraries, invoices, and travel-related documents.
  • Coordinate with travel suppliers and business partners as needed.
  • Assist with data entry, file management, and administrative reporting.
  • Support social media management by scheduling posts and responding to general inquiries.
  • Track tasks, deadlines, and follow-up activities to ensure timely completion.
  • Identify opportunities to improve administrative processes and workflow efficiency.
  • Perform other administrative and operational duties as assigned.
Required Qualifications
  • High school diploma or equivalent.
  • Minimum of two (2) years of experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, or in a similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational, planning, and time management abilities.
  • Ability to prioritize multiple tasks and meet deadlines.
  • High level of professionalism and discretion when handling confidential information.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Drive, Calendar).
  • Comfortable learning and using CRM systems, travel booking platforms, and project management software.
  • Reliable high-speed internet connection.
