Job Summary
We are seeking a highly organized, proactive, and detail-oriented Remote Executive Assistant to provide comprehensive administrative and operational support to senior executives. The ideal candidate is a self-starter who thrives in a fast-paced virtual environment, possesses exceptional communication and organizational skills, and can effectively manage multiple priorities while maintaining strict confidentiality.
As a Remote Executive Assistant, you will play a critical role in ensuring executives operate efficiently by managing schedules, coordinating meetings, handling correspondence, organizing travel, and supporting special projects.
Key Responsibilities
  • Manage complex executive calendars, appointments, and scheduling across multiple time zones.
  • Coordinate virtual and in-person meetings, including preparing agendas, presentations, and meeting materials.
  • Screen, prioritize, and respond to emails, phone calls, and other communications on behalf of executives.
  • Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Prepare reports, presentations, spreadsheets, and business correspondence.
  • Maintain confidential files, records, and sensitive company information.
  • Organize digital documents and ensure efficient filing systems.
  • Track deadlines, follow up on action items, and monitor project progress.
  • Assist with budgeting, expense reports, and invoice processing.
  • Coordinate with internal departments, clients, vendors, and external stakeholders.
  • Conduct online research and compile information for executive decision-making.
  • Support event planning, webinars, conferences, and company meetings.
  • Recommend process improvements that increase efficiency and productivity.
  • Perform other administrative and operational duties as assigned.
Required Qualifications
  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • 3-5 years of experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Experience supporting senior executives or leadership teams.
  • Excellent written and verbal communication skills.
  • Strong organizational, multitasking, and time-management abilities.
