As a Healthcare Associate, you'll be the heartbeat of our daily operations — the person patients and referral partners count on to make sure care arrives accurately, on time, and without friction. You'll serve as the primary point of contact for monthly order fulfillment, working across insurance verification, patient communication, and documentation to keep everything running seamlessly. We're looking for someone who is detail-oriented, people-first, and genuinely excited about making a difference from behind the scenes. Bilingual candidates are strongly encouraged to apply.
What You'll Do

Order Processing & Patient Communication

  • Receive and confirm patient orders via phone, email, and text — ensuring every order is accurate and complete before it moves forward
  • Process orders, requests, and patient information updates in Brightree with speed and precision
  • Serve as a trusted point of contact for patients and caregivers —resolving needs professionally and escalating when needed

Insurance & Documentation

  • Verify insurance coverage across all payers prior to every order fulfillment
  • Scan, file, and maintain patient documentation in full compliance with organizational and regulatory standards
  • Keep patient and order records accurate and current in Brightree at all times

Product Knowledge & Team Support

  • Build working knowledge of our product lines to confidently consult patients and support the sales team
  • Pitch in on additional projects and initiatives as needed — we're a team, and everyone contributes


What You Bring

  • Exceptional attention to detail — especially when processing orders, verifying insurance, and maintaining patient records
  • Strong verbal and written communication for professional interaction with patients, teammates, and leadership
  • The ability to prioritize and multitask effectively in a fast-paced, high-volume environment
  • A collaborative, team-first mindset
  • Proficiency with computer systems, including Microsoft Office Suite and healthcare management software
  • A genuine commitment to HIPAA compliance and patient confidentiality
  • Problem-solving instincts and sound judgment to resolve day-to-day patient and order issues


Education & Experience

  • High school diploma or GED required
  • Minimum of six (6) months of experience in healthcare, customer service, or office administration
  • Preferred: one (1) or more years in healthcare operations, HME/DME, or a comparable healthcare environment
  • Preferred: experience with Brightree or comparable healthcare management software
  • Preferred: working knowledge of insurance verification across Medicare, Medicaid, and commercial payers
  • Familiarity with medical terminology

Work Environment & Schedule

This is a full-time, non-exempt, on-site position based in a professional office environment. Standard hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., with occasional after-hours availability as required. This role is primarily sedentary, involving regular computer and telephone use, with occasional standing, walking, and light lifting of up to 10 pounds.
