Private Event Services Manager
Position Summary
The Private Event Services Manager is responsible for planning, coordinating, and executing private events hosted at the club. This position serves as the primary point of contact for clients from the initial inquiry through event completion, ensuring an exceptional guest experience while maximizing event revenue. The ideal candidate is highly organized, customer-focused, and skilled at managing multiple events simultaneously.
Essential Duties and Responsibilities
  • Coordinate all aspects of private events including weddings, corporate outings, banquets, social gatherings, tournaments, and special club events.
  • Serve as the primary liaison between clients and club departments to ensure seamless event execution.
  • Conduct site tours and consultations with prospective clients.
  • Prepare event proposals, contracts, banquet event orders (BEOs), and event timelines.
  • Communicate event details and requirements to food and beverage, golf operations, maintenance, and other departments as needed.
  • Oversee event setup, execution, and breakdown to ensure client expectations are met or exceeded.
  • Manage event billing, deposits, and final invoicing.
  • Develop and maintain strong relationships with clients, vendors, and community partners.
  • Identify opportunities to increase event bookings and revenue.
  • Maintain accurate records of event inquiries, bookings, and client communications.
  • Assist with marketing initiatives, promotional events, and club outreach efforts.
  • Ensure compliance with club policies, safety standards, and service expectations.
Qualifications
  • Previous experience in event planning, hospitality, catering, club management, or a related field preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Strong customer service and relationship-building skills.
  • Proficiency with Microsoft Office and event management software preferred.
  • Ability to work flexible hours, including evenings, weekends, and holidays as required by event schedules.
