We are seeking an Hospitality Staffing Associate to support our fast-paced, high-volume Hospitality Staffing Division. This role is ideal for someone who thrives in a collaborative, team-oriented environment where flexibility, adaptability, and strong communication are essential. Our team works as one cohesive unit, supporting one another to deliver exceptional service to both clients and candidates. To foster collaboration and operational excellence, team members are cross-trained across multiple functions, allowing them to seamlessly adapt to changing business needs while ensuring outstanding service at every stage of the staffing process.


Position Summary:

The Hospitality Staffing Associate serves as a critical link between clients, candidates, and internal teams within a high-volume hospitality staffing division. This role is responsible for integrating into a team to coordinate daily operations, scheduling, employee relations, recruitment and onboarding to ensure exceptional service delivery and successful execution of hospitality assignments.

The ideal candidate possesses exceptional problem-solving skills, adaptability, and a highly professional and responsive communication style.


This is a hybrid position requiring schedule flexibility due to the seasonal nature of the hospitality industry and fluctuating client demands. Availability to address urgent staffing needs outside of traditional business hours is required.


Job Responsibilities:


Scheduling & Client Coordination

  • Manage high-volume staffing requests for corporate dining, catering, special events, and institutional clients.
  • Process client requests and confirm that all necessary details needed have been provided.
  • Match temporary employees to assignments based on skill set, availability, and client preferences.
  • Monitor daily schedules, staffing levels, and employee availability to ensure adequate coverage.
  • Respond quickly and effectively to call-outs, schedule changes, and emergency staffing situations.
  • Maintain regular communication with clients regarding staffing updates, changes, and service concerns.
  • Address client and employee complaints professionally and assist in resolving operational issues.


Recruitment & Onboarding

  • Source, screen, and interview candidates for front-of-house and back-of-house hospitality positions.
  • Coordinate the onboarding process, including employment documentation, paperwork, reference verification, background checks.
  • Maintain a pipeline of qualified candidates to support changing business needs.
  • Operations & Employee Support
  • Maintain accurate records of employee availability, skills, certifications, and assignment history.
  • Monitor attendance, callouts, lateness, and performance trends and document employee-related concerns.
  • Provide coaching regarding professionalism, attendance, appearance standards, uniforms, and company policies.
  • Support employee engagement and contribute to a positive employee experience.
  • Assist in resolving employee concerns and workplace issues in a timely and professional manner.
  • Assist with other duties and corporate projects as needed.


Payroll Administration & Compliance

  • Review timecards, attendance records, and payroll adjustments prior to payroll deadlines.
  • Ensure compliance with labor laws, client requirements, and company policies.


Process Improvement

  • Identify opportunities to improve staffing workflows, communication processes, and overall efficiency.
  • Collaborate with internal departments to support technology enhancements and process improvements.
  • Contribute to the development and maintenance of policies and procedures that promote consistency and accountability.


Qualifications:

  • A minimum of 2 years of experience in staffing, human resources, recruiting, or high-volume hospitality or event operations.
  • Bachelor's Degree required.
  • Experience in Hospitality (any position or level) is a plus.
  • Experience working in a fast-paced environment with competing priorities and tight deadlines.
  • Able to work projects to completion.
  • Capacity to manage multiple projects simultaneously and prioritize according to needs.
  • Ability to work independently as well as with all levels of staff.
  • Must be self-motivated and have the ability to work with diverse personalities in a dynamic and demanding environment.
  • Excellent verbal, communication and writing skills.
  • Extremely polished and professional.

Schedule Requirements

  • Hybrid work environment.
  • Schedule flexibility is required due to the seasonal nature of the business and fluctuating staffing demands.
  • The schedule will include closing responsibilities, with an end time that may fluctuate but is ordinarily anticipated to be in the vicinity of 6:00 p.m.
  • Availability to address urgent staffing needs outside traditional business hours, including evenings, weekends, and holidays may be needed.
